JOB TITLE
Student Services Specialist / Registrar
JOB SUMMARY
The Student Services Specials will lead and direct the functions of all district-level (non-special education) state and federal reporting concerning students and their educational records and/or summary level data. The specialist will support and organize assessment analysis for learning as well as compile data from the region. The individual will be the District's registrar. The specialist will lead and communicate registration, records request, and specialized classification to ensure compliance with district policy as well as state and federal laws. The individual will reference District policies and support consistent practices to ensure accuracy and compliance with student management system.

POSITION REQUIREMENTS
EDUCATION LEVEL:
High School Diploma, 2-year degree preferred and/or experience in office management.
SKILL LEVEL
Exhibits excellent verbal and written communication skills; excellent interpersonal and conflict resolution skills; excellent organizational skills and attention to detail; Strong analytical and problem-solving skills; ability to act with integrity, professionalism, and confidentiality; knowledge of or ability to learn policy and state and federal laws concerning students in public schools; Proficient with Microsoft Office Suite; Proficiency with or ability to learn organizational software.
PHYSICAL REQUIREMENTS
Must have the ability to sit and stand for extended periods of time; exhibit manual dexterity to use phone and computer; see and read computer screen and printed material with or without visual aids; hear and understand speech at normal office levels and on phone; and, to bend, stoop, climb stairs, walk and reach overhead. Must have the ability to lift and move boxes and equipment up to 50 pounds.
WORKING ENVIRONMENT
Usually works indoors in a climate controlled environment. Some duties may occasionally be performed outdoors or away from school.

DUTIES AND RESPONSIBILITIES
1. Demonstrates regular, timely, in-person attendance. 2 Organize, prepare, and complete federal, state, and district-level reports concerning students and their educational records. 3. Serves as District Registrar for all students. 4. Maintains records for student transportation. 5. Maintains current school district boundary information. 6. Organizes, supports, and ensures compliance with district policy and state and federal law in identification and service support for public school exemptions, homeless, migrant, foster, ELL, military, and all identified categories as identified by the South Dakota Department of Education. 7. Practices acceptable communication skills for daily transacting of information through telephone conversations, personal contacts and mailings with all office and outside sources. 8. Files and maintains records and/or reports pertinent to student services and support. 9. Suggests and initiates modifications to improve workflow and procedures. 10. Performs general office duties such as word processing, data entry, copying, answering phones, etc. to maintain smooth operation of the office. 11. Provides support to the Technology Director for tasks including, but not limited to: a. Data entry and maintenance of student technology and online curriculum accounts b. Data entry and maintenance of student school records including but not limited to transportation records c. Gathering and compiling data for district, building, and grade level reports d. Data entry, maintenance and labeling of technology inventory 12. Provides support to the Human Resources Manager for tasks including, but not limited to: a. Assisting with substitute and new hire processing meetings b. Assisting with setup of meetings/events c. Sending personnel documents to staff for signature via DocuSign d. Organizing documents for filing e. K12 Docs electronic scanning/filing of documents 13. Provides support to the Superintendent for tasks including, but not limited to: a. Ensures continuity of operations by functioning as backup for website maintenance and updates. b. Assists with preparation for meetings/events as needed c. Assists with special projects as needed (Angel Tree, etc.) 14. Provides support to the Business Office for tasks including, but not limited to: a. Preparation of cashboxes for District events (setup, tracking, deposits, etc.) 15. Maintains accurate, complete and correct records as required by law, District policy, and administrative regulation. 16. Continues personal professional growth and upgrading of skills. 17. Completes all trainings and other compliance requirements as assigned by designated deadline. 18. Respects and practices confidentiality both in and out of school with regard to records, activities, and communications relating to all students, parents/guardians, and staff. 19. Performs other duties as assigned.
