PS 2PRIMARY PURPOSE:
Assists in the prompt and efficient operation of the Financial Aid Office. Follows established procedures and performs general office tasks and clerical duties.QUALIFICATIONS
TEA certification requirements High School Graduate orGED LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operation and maintenance instructions, and procedure manuals Ability to write routine and correspondence Ability to speak effectively before groups of peopleMATHEMATICAL SKILLS
Ability to add, subtract, multiply and divide in all units of measure, using whole number, common fractions, and decimals Ability to compute rate, ratio, and percent; and interpret bar graphsREASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in a written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situationsOTHER SKILLS AND ABILITIES
Proficient skills in typing keyboarding and file maintenance. Effective organizational, communication, and interpersonal skills. Ability to operate a personal computer and related software to develop spreadsheets, databases and do work processing. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.EXPERIENCE
One to three years of clerical experience: preferably in public education environment Reliable transportation is necessaryMAJOR RESPONSIBILITIES AND DUTIES
Records, Reports, and Correspondence:
Prepare written correspondence forms, schedules, or reports using typewriter or personal computer. Compile pertinent data as needed when preparing various state and local reports. Maintain physical and computerized departmental files. Schedule meetings and appointments and maintain calendar for immediate supervisor.Accounting:
Perform routine bookkeeping tasks, including simple arithmetic operations for the Financial Aid Office. Assist with the preparation of purchase orders and payment authorizations.Reception and Phones:
Receive incoming calls, take reliable messages, and route to appropriate staff.Files:
Maintain physical and computerized files including inventory of school and office supplies, mailing lists, office records, visitor logs, and office communication. Update handbooks, policy manuals, and other documents, as assigned.Other:
Sort, distribute, or deliver mail and other documents. Maintain confidentiality. Participate in staff development training programs to improve job performance. Participate in meetings and special events as assigned. Exercise professional judgment in absences; be punctual to work, meetings, and appointments. Occasional evening hours are required. Performs all duties in a safe manner to avoid injury to oneself and/or to others. Performs other related duties as assigned by the Financial Aid Officer (supervisor).SUPERVISORY RESPONSIBLILITIES

Mental Demands/Physical Demands/Environmental Factors:
Occasional absences are expected but regular attendance is required. While performing the duties of this job, the employee is regularly required to stand, walk, and sit. The employee is occasionally required to stoop, kneel, or crouch. Repetitive hand motion and prolonged use of computer is required. Specific vision abilities required by this job include close vision, distance vision, and depth perception. This position requires meeting multiple demands from several people at the same time. The employee regularly interacts with staff and the general public. The employee must maintain emotional control under stress. The noise level in the work environment is usually quiet. Work is regularly performed indoors.
