EDUCATION AND EXPERIENCE
: High School Diploma or Equivalent Four years' related experience and/or training; or equivalent combination of education and experience Bilingual preferred High School Diplomas and college/university degrees must be obtained from an accredited program or university approved by the United States Department of Education and the Texas Education Agency.
PRIMARY PURPOSE SUMMARY
: Provides uniformity and consistency in the collection and maintenance of student record information; evaluates and interprets unique transcripts of new students; and serves as a source of information to students, parents and staff concerning course and graduation credits.
ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES
1. Maintains accurate data entry for the Guidance Services Department in order for the District to meet local, state, and federal policies and mandates. 2. Responds to requests for transcripts, report cards, history of school attendance, etc. 3. Ensures graduation date is on printed transcripts. 4. Evaluates international transcripts and serves as a direct resource to employees, parents, and other education institutions to convey appropriate transcript evaluation. 5. Scans previous graduate transcripts for District. 6. Acts as the primary contact for all set up and programmatic issues regarding TREx. 7. Develops training models for Registrars and Counseling Clerks. 8. Provides ongoing training to Registrars and Counseling Clerks to ensure they have the knowledge and skills to perform job functions. 9. Provides DocuWare/TREx training and support to all NEISD Data Processors, middle school Counseling Clerks and high school Clerks and Registrars. 10. Utilizes the
TEASE/TEA TSDS
System to verify student data. 11. Assists in transferring records between campuses and Texas Public Schools. 12. Assists Guidance Clerk with the handling of records received from campuses. 13. Monitors student records to ensure compliance with academic regulations and program requirements for graduation. 14. Maintains and provides recommendations to update to the Academic Procedures Manual and the Registrar's/Records Office Procedure Manual. 15. Collaborates with campus staff to ensure the maintenance of student records, the posting of non-traditional credits, and the evaluation of transfer transcripts for out-of-state and international students. 16. Implements and maintains electronic filing of student records through DocuWare. 17. Coordinates the use of online access to the student transcript request systems using TREx. 18. Researches and implements federal and state laws, regulations, Texas Education Agency and District policies and guidelines and procedures as applicable to Student Records Management. 19. Assists in coordinating the Summer Hub Registration with the Director for Guidance Services. 20. Assists with special projects, programs, and events for the Department for Learning Support Services. 21. Represents the District at selected registrar conferences, counseling clerk conferences and meetings as directed. 22. Summarizes data for compliance reports. 23. Provides input to various manuals and publications such as the office procedural manuals, training materials, guidance materials, and provides instruction and training to various audiences within area of responsibility. 24. Maintains ongoing communication between campus and Learning Support Services. 25. Maintains confidentiality of information. 26. Reports to work on time every day. 27. Performs additional duties and accepts responsibilities as may be assigned.
QUALIFICATION REQUIREMENTS
• Knowledge of modern office practices, procedures, equipment, and clerical techniques Proficient in the use of various computer hardware and software systems, including Microsoft products such as Word, Excel, Power Point and Publisher Strong written and oral communication skills Ability to communicate clearly and effectively, both verbally and in writing Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public Valid Texas Driver's License with driving record that meets the requirements of the District
PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stand; walk; climb or balance; stoop, kneel, crouch, or crawl; and taste or smell. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus. The employee is occasionally required to drive personal vehicle in the performance of assigned tasks.
WORK ENVIRONMENT
The employee is regularly exposed to moving mechanical parts and is occasionally exposed to risk of electrical shock and vibration.
