Join Our Team - Position Summary Student Services Assistants are the first point of contact for students, faculty, and patrons when they enter the school and therefore play a critical role in maintaining an atmosphere that is both welcoming and professional. Primary responsibilities include greeting and directing, assisting students and faculty with scheduling and room availability, answering and directing incoming calls, supporting the Student Services Manager with attendance tracking and other administrative tasks, and ensuring the safety of our campus and community with a consistent watchful presence. This is a part-time staff position; compensation is commensurate with qualifications and experience.

PRIMARY RESPONSIBILITIES
- Customer Service ○ Greet students and visitors warmly upon arrival and, when appropriate, engage with parents and students about their experience at the Peterson School of Music. ○ Be prepared to answer questions in person and over the phone by staying up to date on school events and program offerings. ○ Assist with scheduling facilities and checking room availability.
- Safety and Security ○ Open and close the building. ○ Report facility, safety, or behavioral concerns promptly to the Student Services Manager or appropriate staff member. ○ Ensure community safety by monitoring who uses and enters our facilities. Visits from anyone other than students, faculty, staff, families, and guest artists should be approved.
- Attendance & Monitoring ○ Conduct facility rounds approximately every 30 minutes, not disturbing but viewing each class or lesson in progress.
This will ensure every lesson or class is observed for a few moments (outside of the classroom is fine). Notation should be made regarding this monitoring. ○ Make note of missed lessons or other irregularities in the provided schedule. ○ Share updates with the Student Services Manager through daily shift reports, direct updates in My Music Staff, and other communication methods as requested.
- Housekeeping ○ Arrive early to prepare the building for student and teacher use. ○ Assess and perform light housekeeping (tidying areas, replacing brochures, etc.) as needed. ○ Monitor the overall appearance of the lobby, hallways, and main desk.
- Administrative Duties ○ Attend all Student Services meetings and briefings as scheduled by the Student Services Manager.
○ Student Services meetings are typically held on the first Wednesday of each month from September through May. ○ Assist with various administrative tasks, such as updating bulletin boards, filing, data entry, mailings, etc. ○ Assist with recital, event, and registration support as assigned.
QUALIFICATIONS
- High school diploma, GED, or equivalent required.
- Excellent interpersonal and customer service skills, with the ability to interact professionally and positively with students, families, faculty, staff, and visitors.
- Strong organizational and administrative abilities, including proficiency with online scheduling platforms, email communication, data entry, and basic report preparation.
- Ability to maintain confidentiality and exercise sound judgment when handling student, family, and school information.
- Previous experience in customer service, administrative support, front-office operations, or an educational environment preferred.
- Ability to lift and move chairs, music stands, and other classroom furnishings as needed.
- Reliable, punctual, detail-oriented, and committed to maintaining a consistent work schedule.
- Demonstrated interest in music education, youth development, or arts administration preferred.
- Ability to work independently while contributing positively as part of a collaborative team.
