Job Description
Recurring Duties:
- Coordinates with CO-AD on all tasks listed below regarding WCA's Athletic Department.
- Works with coaches in planning and scheduling games, practices, gym use, athletic field use, and related activities (school calendar).
- Responsible for athletic Budget development. Works with the Head of School, COO and Co-AD to develop the athletic budget
- Requisitions and allocates equipment, supplies and awards within the scope of the approved budget. Establishes and coordinates a uniform inventory and replacement rotation system
- Works closely with WCA's administration - communicating team accomplishments and problems needing administrative involvement
- Coordinates and organizes all sports tournaments. Works with administration to add teams to the athletic program
- Organizes and maintains the athletic office. Keeps current with technology, filing, communicating requirements
- Maintain and update athletic department Twitter, Instagram, and other social media sites daily
- Create and maintain records for each sport and maintains record boards for each sport
- Evaluates/revises the policy manuals (Athletic Policy, Coaches Manual). Manages and articulates to coaches the major-minor system for athletes balancing numerous extracurricular activities. Collects, organizes, and monitors all mandatory compliance forms for each player/team (VHSL Sports Physical forms, Student-Athletic Handbook sign-off, etc.)
- Collaborates with Head of School to strategically grow enrollment through maintaining excellence in current sports and launching new, popular options among adolescents
- Directs all activities related to the maintenance of the athletic fields and equipment (including weight training equipment). Prepares all fields and gyms for games
- Maintain athletic fields with year round maintenance
- Maintains athletic vehicles. Oversees the use of school vehicles. Works with coaches to provide additional methods of transportation when buses are not available
- Coordinate and oversee all Junior Eagles sports programs throughout the year
- Maintain athletic bulletin boards, trophy cases, and athletic recognition walls
- Represent WCA at VMAC functions
- Assist Co-AD concerning maintenance of the athletic fields and equipment (including weight training equipment); help prepares all fields and gym for games/practices
- Help maintain athletic bulletin boards, trophy cases, and athletic recognition walls
- Other reasonable tasks, as necessary
- Support the PE Coordinator with the development of the Junior Eagle sports programs throughout the year.
- Help the PE Coordinator recruit Jr. Eagles coaches and volunteers from staff, US students, parents, or the community as needed.
- Schedule pre-season meetings with school staff to determine the needs of each participant and recommend a special education provider/volunteer student "sports buddy" as needed.
- Maintain weekly tracking of student participation with sign-in/out log for best practice and safest procedure.
- Working with the Co-AD and PE Coordinator, organize school community events per Junior Eagle season (i.e., "Ball Boy/Ball Girl Soccer Day," Pep Rally or Game Day Cheer, "Big Golfer/Little Golfer" Day, "Big Ace/Little Ace" Tennis Day, Basketball Family Fun Day, etc.)
- Ensure proper injury care treatment by coaching staff as outlined in the Coaches Manual
- Evaluates athletic department personnel and coaches and is involved with retention decisions of athletic department personnel and coaches with the Head of School.
- Encourages and provides leadership in professional growth for coaches. Works with coaches in the enforcement of Athletic Policy and techniques for coaching all sports, including proper lock up of the building following sporting events
- Promotes the athletic program to students and parents (schedules, special events, upcoming opportunities)
- Supervises all home athletic contests. Acts as school's representative at athletic conference events, providing input as to the school's philosophy and goals
- Selects and trains efficient student managers to maintain statistics and records of team and individual accomplishments
- Articulates a Christian philosophy of athletics and interprets this to coaches, students, and spectators. Establishes specific spiritual goals and Biblical priorities. Encourages coaches to lead their teams spiritually as well as athletically
- Evaluates the process and products of the athletic program and recommends indicated changes for improvement
- Runs athletic awards ceremonies

- Lift books/materials for storage and delivery (up to approx. 50 pounds)
- Physically fit - Walk/run/stand/bend/stoop/kneel, etc. each day
- Distinguish tone of voice to interpret the difference between a joyful student and a distressed one
- See details of objects and analyze the activities of students more than a few feet away
