Location:
Hinesburg Community School This position will remain open until filled. However, applications received within the first seven days of posting will receive priority consideration. Hinesburg Community School (HCS) is seeking a dedicated, highly organized, and versatile School Registrar / Administrative Assistant to the Principals to join our front office team. This role is central to the daily operations of our school, serving as a vital bridge between our administration, staff, and school families. We are looking for a professional who can balance meticulous data integrity and records management with a holistic, welcoming approach to supporting our school community. Primary Responsibilities
Registrar, Attendance & Records Management:
Serve as the official school registrar throughout the calendar year. Manage daily student attendance and conduct follow-up communication with families. Maintain, audit, and update student records in PowerSchool and physical files. Support families with PowerSchool access and troubleshooting, and work closely with the District Data Manager to ensure data compliance. Generate attendance reports for Special Education and administrative use, and prepare/transfer eighth-grade student records to CVU.
Administrative & Operational Support:
Provide front office coverage and student support as needed. Exercise independent judgment when handling scheduling conflicts, data discrepancies, and administrative priorities. Maintain school phone directories, update public-facing computer displays, and coordinate access credentials (keys and swipe cards).
Communication & Publications:
Produce the weekly Husky Highlights newsletter for administrative review. Draft and distribute SchoolMessenger communications as requested by administration. Maintain and update the HCS website, as well as the Family and Staff Handbooks.
Scheduling & Administrative Coordination:
Manage calendars and scheduling for the Principal and Assistant Principal, including room usage. Coordinate Educational Support Team (EST) meeting scheduling and create weekly K-8 Student Support Team (SST) attendance reports. Upload and manage master student and staff schedules in PowerSchool.
Testing, Compliance & Reporting:
Coordinate VTCAP testing setup and data management alongside the Digital Learning Leader, and serve as the school's NAEP testing liaison. Maintain DCF reporting logs, compliance binders, and Rule 4500 documentation. Complete the annual VTMTSS survey.
Events, Programs & Logistics:
Oversee Kindergarten registration processes. Coordinate summer bus route communication, enter transportation data into PowerSchool, and support afternoon bus dismissal. Develop the annual Parent Input Form and prepare middle school placement letters. Order office supplies, manage copier service requests, and coordinate staff PD logistics/celebrations. Data and Systems:
Advanced proficiency with PowerSchool (or similar student information systems) and a strong grasp of state/federal compliance reporting.
Exceptional Communication Skills:
The ability to interface effectively and with clarity—both in person and in writing—with students, staff, and families.
Strong Organizational Aptitude:
A high degree of reliability, analytical skill, and the ability to maintain confidentiality regarding sensitive student and personnel data.
