Responsible for monitoring and administering the student services and student affairs functions of the College of Graduate Nursing. This position reports directly to the Dean. Knowledge, Skills and Abilities Individual must possess the following knowledge, skills and attitudes or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities. Ability to communicate effectively with others in multiple settings including in person, email, telephone, video conferencing and other business communication systems. Ability to effectively interact with administration, faculty, staff, students, and the general public. Ability to use multiple computer programs as needed to accomplish essential job functions including but not limited to MS Word, Excel, PowerPoint, OneDrive, SharePoint, learning management systems (Canvas), Banner, Banner Self-Service. Organizational skills necessary to prioritize workload. Ability to prioritize workload to meet long and short-term deadlines. Flexibility in job assignments to meet departmental priorities. Ability to handle detail-oriented assignments with accuracy, consistency, with minimal supervision. Interpersonal skills and experience necessary to offer initial counseling to College of Graduate Nursing students in personal, professional, and behavioral matters. Ability to maintain confidentiality. Demonstrate a commitment to working in an organization that values and promotes humanism.
Required Qualifications Education:
Master's degree required. Any combination of education, training, or experience that provides the required knowledge, skills, and abilities.
Experience:
3 or more years experience with student services programs in a university setting.
Preferred Qualifications Education:
Doctorate Preferred.
Experience:
Preference will be given to individuals with a background in an academic setting and to those individuals possessing advanced computer skills.
Essential Job Duties Key Responsibilities Advocate/Advisor:
Serves as student advocate, advisor and liaison with faculty and administration regarding matters related to the quality of the student role and experiences in the College of Graduate Nursing (CGN). Provides perspective regarding student issues and needs which impact the educational environment. Facilitates the lines of communication between the administration, faculty, and students to promote a culture of mutual respect and professionalism. Interfaces with the CDHP office and Program Directors regarding students with accommodations. Interfaces with the LEAD office to establish protocols for assisting students with learning needs. Provides advisement to students who are seeking medical leave, leave of absence or withdrawal from the college. Understand and apply protocols for helping a student in crisis. Maintain a working knowledge of student resources for mental health, food insecurity, housing, and other health and safety concerns. Collaborate with the Assistant Dean of Academic Affairs to coordinate Student Performance Committee meetings. Guide students through the SPC process. Complete and maintain SPC forms and records. Conduct SPC training once a year for new faculty.
Key Responsibilities Student Records:
Maintains an ordered, accurate and secure system of student records (i.e. evaluations, disciplinary actions, current email addresses and phone numbers). Collaborates with Program Assistant Directors to create new student rosters based on admission lists. Rosters include tracking students' completion of orientation, background check, and registration. Maintains a database of student phone numbers, email addresses, and physical addresses. Collaborates with Program Assistant Directors to create and send new student welcome email series to prepare for entry into CGN programs. Interfaces with Registrar and Institutional Research to ensure students' total time to completion and students' codes in courses are accurate. Creates a curricular plan for every student, uploads to a SharePoint file used across campus, and revises as needed. Updates any curricular plan as needed, shares it with the student, and updates it in a SharePoint file that is used across campus. Interface with Principal Investigator for NFLP grant to add Educator courses to student's curricular plan. Collaborates with Program Directors to process transfer credits for incoming students by forming the transfer credit committee, verifying the information through Slate, completing transfer forms, and updating curriculum plans. Creates a tuition and fees chart for each program for use in the Financial Aid Office and other departments across campus. Completes yearly forms for Registrar including Role Call at the start of every semester, confirming the graduation list, and commencement form. Verify semester start and end dates with Program Directors and Dean. Maintain a list of faculty who have the main grader designation each semester and list students who are extending their clinical hours. Key Responsibilities Liaison with
University Units:
Works with the Senior Director of Student Services to coordinate Admissions activities for the College of Graduate Nursing. Works with the Office of Admissions to facilitate admissions interview day and orientation sessions. Serves as liaison to the University Office of Student Success. Works collaboratively with the Senior Director of Student Services and the WesternU Office of Student Success in creating, developing, and overseeing student activities in the College of Graduate Nursing. Collaborates with University Student Success to plan college Orientation, Honors Day, Convocation, and Commencement ceremonies. Updates and improves the student Orientation Course for all incoming students from all programs. Creates and implements events planned for Welcome Week.
Key Responsibilities Accreditation:
Assists in the process for accreditation by the Commission of Collegiate Nursing Education and re-approval for the California Board of Registered Nursing (BRN) self studies and site visits. Oversees BRN records, as they relate to student progress or transfer/waiver credits. Organizes documentation necessary for the process. Maintains open communication with all parties during the process.
Key Responsibilities Catalog/ DOE Agreements:
Coordinates the process for attaining state-to-state Department of Education authorization for CGN distance programs with the CGN Assistant Director of Hybrid Program Operations, and Office of the Provost. Stays abreast of the current processes for attaining and maintaining clinical affiliation agreements and assists with that process when needed. Collaborates with the Academic Manager on the annual updating of the Student Catalog and ensures Student Catalogs are updated and reflect the policies of the College of Graduate Nursing. Implements catalog modifications/changes of course(s), course description(s), curriculum, and program(s). Maintains communication with the University administration, program directors, and the college Dean in making catalog changes. Gets approval of catalog changes from program directors, the college Dean, and the University administration. Maintains open communication with all parties during the process.
Key Responsibilities Co-Curricular and Shared Governance:
Collaborates with students to plan, organize, and implement co-curricular activities to foster a climate that will maximize student performance and experience, including student clubs and professional organizations. Leads student governance in collaboration with Program Directors. Recruits students to join College committees. Emphasizes the importance of Course Evaluations to all students regularly. Assists with MSNE Officer elections and trains officers in their roles. Lists the student volunteers on committees within the Complete Roster Grid. Assists with planning and implementation of CGN Seminar Weekends, University Orientation, Graduation, End of Program Celebration and other College sponsored events.
Key Responsibilities Other:
Participates in professional development conferences to stay current on best practices in Student Affairs. Participates in and serves on University and College Committees as assigned by the Dean including Student Success Council, CGN Program meetings, Student Health Insurance, Curriculum Committee, Orientation Committee, Deans and Directors, Collaboration, University Orientation and Commencement Committees, Staff Meetings, and other meetings as assigned. Participates in CGN activities as required to fulfill role of Assistant Dean of Student Affairs. Other duties as assigned. Posting Details Continued Work Schedule Typically Monday - Friday, 8 AM to 5 PM with flexibility to support after hours events and weekend seminars (6 x per year) as needed. This position is based in Pomona, CA and requires being on-campus 3-4 days per week as agreed upon with the Dean.
