Posting Details Position Title Associate Director of Admissions Position Control Number 999663 Type of Position Administration Position Status Full-time Department 1315 - Enrollment Management Campus Western University Campus-Pomona, CA Position Location California Job Summary Under the direction of the Director of Admissions, the Associate Director of Admissions oversees the admissions strategy for their assigned programs and management of designated admission staff. This position has the principal responsibility for leadership and management of all phases of the admissions process and works closely with college administration and faculty to meet enrollment goals. Knowledge, Skills and Abilities Individuals must possess the knowledge, skills, and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities. Excellent computer skills required. Knowledge of Microsoft Office products including Word, Excel, PowerPoint. Experience with Banner and Slate is preferred. Excellent written and verbal communication skills. Must be able to effectively interact with prospective students, applicants, staff, faculty, and administration. Experience developing and implementing recruitment plans; managing a budget, and data analysis skills. Good organizational skills required. Ability to learn, interpret and apply a wide variety of policies and procedures relating to and impacting F-1 international students and their dependents. Experience working with SEVIS. Demonstrate a commitment to working in an organization that values and promotes humanism.
Required Qualifications Education:
Bachelor's degree in a related field.
Experience:
Minimum of four to five years of experience in university admissions and recruitment or a similar recruitment setting. Minimum two years off administrative management or leadership experience in an office of admission or equivalent field.
Travel:
Must have a willingness to travel as needed during peak recruiting seasons, as needed. Preferred Qualifications Master's degree preferred or any combination of education and experience that provides the required skills and ability.
Essential Job Duties Key Responsibilities Supervision/Management:
Supervise and evaluate Admissions Department staff and carry out supervisory responsibilities in accordance with the University's policies, institutional goals, and applicable laws. Create, coordinate, and implement the overall activities related to the Admissions Office, including working with prospects and inquiries, evaluating applications, determining applicant eligibility, participating in the interview process, verifying completion of the applicants' files, and informing the applicant of any deficiencies. Process admissions decisions in CRM. Utilize PowerBI Dashboard and offer status reports to monitor class numbers. Work cross-functionally with admissions staff, and the offices of University Recruitment, Admission Operations, Admissions Recruitment & Communications, University Registrar, and other offices across campus to ensure admissions processes enable a smooth transition from prospective student to applicant and accepted applicant to enrolled student. Recruit, hire and provide comprehensive training for new staff members to ensure they are well equipped for their roles. Develop, implement, and document standard operating procedures to ensure consistent and efficient operations. Manage department budget, which includes preparing quarterly reports, budget transfers, ordering supplies, etc. Utilize CRM system to identify, monitor, and prioritize daily, weekly, and quarterly workflow and productivity goals. Coordinate and monitor the application flow, acceptance rate, deposits, and withdrawal rate throughout the admissions cycle and regularly supply statistical reports to the appropriate offices. Responsible for managing and participating in educational events, conferences, and workshops to enhance professional growth and networking.
Key Responsibilities Program/Management:
Participate in Admissions Committee meetings and/or process, provide admissions materials on candidates to committee members, and plan and coordinate training for committee members and others. Collaborate with programs to determine interview dates, coordinate faculty interviewers, and secure student ambassadors. Manage and facilitate virtual and on-campus interview day activities and conduct admissions presentations. Use exceptional communication skills to lead proactive and challenging conversations when recommending procedure changes to meet enrollment goals. Evaluate data from CRM, Power BI, and feedback surveys to deliver insights that inform decision-making, achieve strategic admissions objectives, and improve the student experience throughout the application cycle.
Key Responsibilities Admissions Initiatives/Strategic Planning:
Collaborate with the Director of Admissions to develop and implement admissions strategies and goals, including long-term planning and budget considerations. Advocate for and recommend new admissions policies based on data and best practices. Continuously evaluate new and existing processes and review anecdotal data for ongoing improvement.
Key Responsibilities Communications:
Collaborate with the Director of Admissions & Recruitment Communications to assess, review, and revise admissions messaging and website content, ensuring that communications and marketing materials accurately represent the University, its programs, and admissions requirements. Coordinate all follow-up correspondence to prospect, inquiries, applicants, and admitted students in relation to their status, making recommendations to prospective students on admissions policies, program offerings, and evaluating transcripts.
Key Responsibilities Recruitment:
Partner with University Recruitment to schedule off-campus, on-campus, or virtual events targeted at prospective students to answer questions, (i.e. information sessions, graduate fairs, transfer fairs, tabling sessions, campus tours, community college visits). May include creating and nurturing external community and professional relationships. Assist with the creation of the recruitment presentations used when presenting to partner schools and local businesses within the community.
