Serving as a relational and operational support to the International Program team, the International Homestay & Admissions Coordinator helps ensure a smooth, welcoming, and well-organized experience for prospective and current international students. This role primarily supports four key areas: homestay coordination, admissions support, event coordination, and student/family communication.The International Homestay & Admissions Coordinator serves as a highly collaborative team member who helps manage the day-to-day logistics and relationships that support student placement, onboarding, and ongoing care. This role is especially important in helping students and host families feel known, supported, and connected as part of the broader Linfield community.
ESSENTIAL DUTIES & RESPONSIBILTIES
Homestay Coordination & Family Support Host Family Recruitment & Screening:
Assist with the recruitment, application, screening, interviewing, and onboarding of prospective host families.Homestay Placement Support:
Help coordinate thoughtful student-to-host family placements in collaboration with International Program leadership.Family Communication:
Serve as a regular point of contact for host families regarding logistics, expectations, reminders, and general support.Training & Orientation:
Help facilitate orientation and training for host families to support healthy communication, clear expectations, and strong student adjustment.Relationship Monitoring:
Conduct regular check-ins with host families and students to help identify concerns early and elevate more complex issues to program leadership.Placement Logistics:
Support transitions related to new placements, move-ins, move-outs, and other homestay changes as needed.Admissions & Enrollment Support Admissions Process Coordination:
Support the inquiry, application, and admissions workflow for prospective international students, ensuring files, communication, and next steps are organized and timely.Records & Database Management:
Maintain accurate student records, admissions files, and internal databases related to enrollment, housing, and family information.Tours & Family Support:
Help schedule and facilitate student, family, and agent tours, interviews, and related follow-up communication.Marketing & Materials:
Maintain admissions packets, promotional materials, and other program resources used in recruitment and onboarding.Testing & Enrollment Logistics:
Assist with student testing logistics, insurance enrollment, and other enrollment-related administrative needs.Business Office Coordination:
Work collaboratively with the business office to help track tuition-related communication, fees, and required documentation.Student Onboarding, Communication & Relational Support Student Welcome & Orientation:
Help coordinate onboarding processes for new international students, including communication, arrival preparation, and orientation support.Relational Point of Contact:
Build positive relationships with students, guardians, and host families through warm, consistent, and professional communication.Meeting & Communication Support:
Assist with scheduling meetings and ongoing communication between students, parents, guardians, host families, and school personnel.Program Event Support:
Assist with International Program events, student meetings, family gatherings, and community-building opportunities.Day-to-Day Student Support:
Provide practical, relational support to students as needs arise and communicate more significant concerns to the Director / Associate Director.Team & Operational Support Collaborative Program Support:
Work closely with the International Program team to support the overall health, organization, and effectiveness of the department.Administrative Support:
Help manage calendars, documents, forms, and follow-up tasks that keep the program running smoothly.Cross-Team Collaboration:
Partner with admissions, the business office, front office, and other school departments as needed. Other Duties asAssigned:
Support special projects and seasonal needs connected to admissions, host family care, and student programming.Event Coordination & Execution Program Event Planning:
Coordinate and execute logistics for International Program events, including student orientations, family gatherings, cultural celebrations, and community-building activities.Event Communication:
Manage communication with students, host families, parents, and staff regarding event details, schedules, and expectations.Logistics & Operations:
Oversee event logistics including space reservations, materials, food coordination, transportation (if needed), and setup/cleanup.Student Engagement:
Help design and support events that foster connection, belonging, and cross-cultural engagement among international and domestic students.Calendar Coordination:
Maintain and communicate an up-to-date International Program events calendar in collaboration with program leadership.On-Site Execution:
Serve as a primary support presence during events to ensure smooth execution and positive experience for all participants.Post-Event Follow-Up:
Assist with follow-up communication, feedback collection, and documentation to support continuous improvement of program events.QUALIFICATIONS & QUALITIES
Education Bachelor's degree required. Experience 1-3 years of experience in admissions, student support, hospitality, education, youth work, or a related field required. Experience working with international students, host families, or cross-cultural environments is highly valued and preferred.
