POSITION SUMMARY
The Associate Director of Financial Aid supports the leadership and daily operations of the Financial Aid Department to ensure compliance with all federal, state, and institutional regulations governing student financial assistance programs. This role assists in overseeing awarding, disbursement, reconciliation, and reporting processes while promoting student access and success in alignment with the mission of Success Education Colleges. The Associate Director of Financial Aid reports to the Director of Financial Aid and works closely with campus and corporate leadership to maintain operational excellence and regulatory compliance.
ESSENTIAL DUTIES AND RESPONSIBLITIES
Assist in supervising and supporting Financial Aid staff to ensure accuracy, compliance, and high-quality customer service. Support the administration of federal, state, and institutional financial aid programs, including awarding, disbursement, return of funds, and reconciliation. Ensure financial aid processes are conducted in compliance with Title IV regulations and institutional policies. Assist in developing, implementing, and maintaining departmental policies and procedures to improve efficiency and compliance. Monitor financial aid processing activities and identify areas for improvement; escalate issues to the Director as needed. Conduct file reviews and assist with internal audits to ensure accuracy and adherence to regulatory requirements. Provide training and mentorship to Financial Aid Advisors and staff. Support preparation for audits, program reviews, and regulatory inquiries. Collaborate with Admissions, Student Services, and other departments to support enrollment and retention initiatives. Counsel students and families on financial aid eligibility, application processes, and funding options. Serve as a point of escalation for complex financial aid issues and student concerns. Stay current on regulatory changes and assist in implementing updates to policies and procedures. Represent the department in meetings, workshops, and professional development activities as assigned
QUALIFICATIONS KNOWLEDGE AND SKILLS
Strong knowledge of federal, state, and institutional financial aid regulations, including Title IV programs. Demonstrated leadership and team support skills. Excellent organizational, analytical, and problem-solving abilities. Strong customer service orientation with a student-centered approach. Ability to collaborate effectively across departments. Excellent written and verbal communication skills. Ability to handle confidential information with discretion and professionalism. Proficiency in Microsoft Office (Word, Excel, Outlook) and financial aid management systems. Ability to manage multiple priorities in a fast-paced environment. Flexibility to work evenings and weekends as needed.
EDUCATION AND EXPERIENCE
High school diploma or equivalent required; bachelor's degree preferred. Minimum of three (3) years of experience in financial aid administration. At least one (1) year of experience in a lead, senior, or supervisory capacity preferred. Experience with compliance, reconciliation, and audit support strongly preferred. Prior experience in a postsecondary educational institution preferred.
