This position serves as the primary coordinator and liaison for alumni engagement and parent involvement initiatives. Success in this role requires exceptional communication, follow-through, project management, and volunteer leadership skills. The Coordinator is responsible for building systems, organizing volunteers, coordinating events, facilitating communication, and ensuring that alumni and parent engagement efforts advance the mission and strategic goals of St. Thomas Aquinas High School. This role is not primarily responsible for performing all event tasks personally. Instead, the Coordinator recruits, organizes, guides, and supports volunteers, committees, and stakeholders to ensure successful execution.
PRIMARY RESPONSIBILITIES
Alumni Relations Serve as the primary staff liaison to the Alumni Board. Coordinate alumni engagement initiatives, reunions, networking events, legacy events, and school-sponsored alumni activities. Develop and maintain meaningful relationships with alumni across multiple generations. Support alumni participation in school programs, mentorship opportunities, career networking, and Advancement initiatives. Coordinate alumni communications including invitations, announcements, newsletters, and event messaging. Collaborate with the Marketing Director and school leadership to develop and maintain alumni-related website content, stories, alumni spotlights, and engagement materials. Respond promptly to alumni inquiries and requests. Assist in identifying alumni volunteer leaders and future Advancement supporters. Parent Engagement Serve as the primary staff liaison to the Parents Guild and parent volunteer leadership. Recruit, organize, support, and communicate with parent volunteers and committees. Foster a welcoming, engaged, and mission-centered parent community. Coordinate parent involvement opportunities that strengthen school culture and community engagement. Maintain consistent communication between parent leaders, volunteers, school administration, and the Advancement Office. Support parent volunteer participation in major school events, including fundraising and community-building activities. Event Planning and Volunteer Coordination Develop comprehensive event plans, timelines, task lists, and communication schedules. Coordinate logistics for alumni and parent events, including meetings, registrations, vendors, volunteers, facilities, and event communications. Ensure leadership receives timely information, decision points, approvals, and event updates well in advance of major milestones. Guide volunteers and committee leaders through planning and execution processes. Conduct post-event evaluations and recommend improvements for future events. Manage multiple projects and events simultaneously while maintaining attention to detail and deadlines. Communication and Administration Maintain consistent, professional, and timely communication with alumni, parents, volunteers, vendors, and staff. Ensure invoices, contracts, approvals, and event-related documentation are submitted and processed in a timely manner. Coordinate meeting agendas, minutes, follow-up items, and volunteer communications. Maintain accurate records and constituent information in partnership with the Advancement team. Provide reports, updates, metrics, and engagement summaries as requested by the Director of Advancement. Support Advancement Office initiatives as assigned.
QUALIFICATIONS
Required Bachelor's degree or equivalent professional experience. Exceptional organizational and project management skills. Strong written, verbal, and interpersonal communication skills. Demonstrated experience coordinating events, volunteers, committees, or community engagement programs. Ability to manage multiple priorities and deadlines simultaneously. Strong attention to detail and follow-through. Proficiency with Microsoft Office, Google Workspace, and constituent or CRM systems. Ability to work occasional evenings and weekends. Preferred Experience in advancement, alumni relations, education, nonprofit organizations, hospitality, event management, or volunteer leadership. Familiarity with Blackbaud RE NXT or similar CRM platforms. St. Thomas Aquinas alumnus/alumna or familiarity with Catholic school culture.
