Job Description
Reporting to the Director of Residential Education, the Assistant Director of Housing Operations oversees the administration and day-to-day operations of Berea College's residential program. The Assistant Director manages housing applications, contract adjustments, billing, and room assignments in StarRez. This position supports student-facing services, maintains data accuracy, and ensures timely, responsive communication with students, families, and campus partners. This position oversees all housing operations and advances the college's Eight Great Commitments, particularly the Seventh, by supporting a residential community grounded in holist wellness, learning, sustainability, high personal standards, and care for others, in alignment with the mission of Student Affairs. Responsible for core Residential Education housing operations, including housing application cycles, room change processes, openings and closings, and related administrative timelines. Provides functional oversight of the Residential Education office team, including coordination of workflows, review of processes, and alignment of housing operations with institutional standards. Facilitates billing processes and student accounts related to housing, board, and damages in coordination with campus partners. Serves as the Program Owner for StarRez and manages the integration, maintenance, and continuous improvement of Residential Education systems, including establishing standards, documentation, and operational training. Responsible for the maintenance, configuration, and ongoing updates of PortalX, the student housing self-service portal, to ensure accuracy, functionality, and alignment with housing processes and timelines. Maintains student-facing housing information on the college website, ensuring procedures, policies, and deadlines are current, clear, and consistent with institutional practices. Leads housing accommodation and compliance processes in consultation with Disability & Accessibility Services and Counseling Services. Manages meal plan records and the accuracy of related billing, in coordination with campus partners to ensure alignment with housing and student account processes. Maintains accurate Residential Education records in collaboration with campus partners. Regularly updates residential policies, procedures, manuals, contracts, and operational documentation, including web content, resident communications, and housing self-service platforms. Collects assessment data for Residential Education, including goal setting and student learning outcomes. Supports move-in and move-out operations, including coordination of key management and access. Advises and supports the Assistant Dean/Director with operational budgets and funds allocated for housing operations, systems, and administrative needs. Provides operational support for Student Affairs and divisional initiatives as assigned by the Assistant Dean/Director of Residential Education. In support of Berea College's great commitments, this position requires student supervision. The fourth great commitment is to promote learning and serving in the community through the student labor program, honoring the dignity and utility of all work, mental and manual, and taking pride in work well done. The Supervision would include scheduling, assigning, and approving work performed. Developing students about common workplace acumen and giving them tangible work experience is an expected outcome. Education required to ensure success in this position: Master's degree in education, College Student Personnel, Counseling, Human Development, or related field preferred. Experience required to ensure success in this position: 3-5 years of experience in Higher Education, Student Affairs, or Residence Life and Housing. Demonstrated experience in supporting, educating, training, and working with diverse populations. Established problem solving and conflict resolution experience required. Proven experience in management and support of student housing operations needed. Ability to adapt to change and assume varied responsibilities in a dynamic environment. Special skills, knowledge and abilities: Knowledge of professional standards and best practices in Residence Life, including student conduct processes. Proven capacity to analyze information, manage multiple priorities, and lead effectively during high-pressure or emergency situations. Experience overseeing housing operations and systems, such as StarRez, Banner, work order management platforms, and related organizational processes. Demonstrated ability to manage projects, budgets, assessment efforts, timelines, and timekeeping systems. Strong supervisory and leadership skills, including team building, communication, and the ability to maintain effective working relationships with a diverse campus community. License, certification, or registration necessary: Valid driver's license Physical requirements: Must have visual acuity to perform activities such as inspections or preparing and analyzing data and figures. Must be physically able to navigate campus, as well as sit, or stand for extended periods of time.
