Job Description
This position is for a full-time 12 -month, unclassified, in-person staff position located on-site at our Bossier Campus. Salary commensurate with credentials and experience. Must have use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear and handle or feel objects and controls. Must have physical capability to effectively use and operate various items of office equipment such as, but not limited to, personal computer, calculator, copier, and fax machine. Ability to occasionally lift or carry up to 10 pounds. Must be capable of sitting in stationary position for 50% or more of time. The Director of Admissions / Registrar provides leadership for admissions operations, student records management, registration, and academic credentialing. This role ensures accurate, secure, and compliant handling of student information in accordance with FERPA and institutional policies. The Director supports prospective and current students, faculty, and staff by aligning admissions processes with registration and records functions to promote a smooth enrollment and onboarding experience. This position works closely with academic and administrative partners to support enrollment goals, academic programming, and student success, while managing key systems and serving as a primary contact with external agencies and partners. 1. Leadership, Student Records Management, Compliance and Daily Operations (80%) Oversee and supervise all daily operations of the Admissions/Registrar's Office, ensuring efficient service delivery and staff support in registrar-related functions. Ensure the security, confidentiality, and integrity of all student records in compliance with federal, state, and institutional regulations. Direct and oversee all student record transactions, including adds, drops, withdrawals, grade changes, course substitutions, articulation credit, and transcript issuance, ensuring accurate and timely processing. Act as the chief compliance officer for the Family Education Rights and Privacy Act (FERPA), providing training and resources to the college community. Serve as the security administrator for essential office support systems, including Banner, College Source, and the National Student Clearinghouse. Supervise and guide the registrar staff in fulfilling registrar-related responsibilities for the college. Monitor and interpret federal, state, and institutional regulations related to academic records, ensuring institutional compliance and alignment of office practices. Provide oversight of articulation credit evaluations and ensure accurate and timely processing of grades, last dates of attendance, and transfer credit evaluations. Ensure institutional compliance with federal immigration regulations pertaining to international students. Oversee the development, implementation, and evaluation of communication plans for students that align with Admissions/Registrar Office responsibilities. Oversee the development of automated communications generated through Banner to ensure messaging is accurate, student-centered, and aligned with enrollment goals. 2. Academic and Enrollment Collaboration (10%) Work closely with deans and administrators in the development of new courses and academic programs, ensuring seamless implementation from planning through to execution. Foster collaboration with Enrollment Management and the Admissions/Registrar's Office to support the overall enrollment and onboarding process. Support faculty and staff by offering training on registrar processes to enhance service delivery. Provide strategic oversight for registration and recruitment events, ensuring alignment with institutional enrollment goals and operational execution by staff. Collaborate with Enrollment Management and other college departments to stay informed about events and initiatives that support shared institutional goals. Participate in enrollment and registration events, including occasional events outside of regular working hours, to assist with registration and promote student engagement. 3. Graduation, Credentialing, and Reporting (10%) Oversee the final review process for graduation candidates, confirming completion of all College requirements prior to credential awarding. Authorize and oversee the awarding of academic credentials to qualified graduates and oversee the accurate production and distribution of college statistics for internal and external reporting. Oversee the preparation and distribution of official College statistics for use in institutional, state, and federal reports. Ensure the accurate and timely transmission of National Student Clearinghouse reports in collaboration with the Financial Aid Office.
