POSITION SUMMARY
: The Dual Enrollment Office Professional provides advanced administrative, operational, and student support within the Dual Enrollment and Early Middle College (DE/EMC) department. This position serves as a primary point of contact for dual enrollment students, secondary partner schools, and internal college departments. This role supports enrollment management functions including student onboarding, registration processing, records management, billing coordination, reporting, and communication of policies and procedures. The Office Professional ensures accurate and timely processing of dual enrollment transactions while delivering high-quality, student-centered service to students, families, high school partners, and internal stakeholders, grounded in an equity-based mindset and a commitment to student success. This position requires independent judgment, strong organizational skills, and the ability to manage multiple priorities in a high-volume, deadline-driven environment and set priorities, to ensure decisions made are student-centered, that reduce barriers, improve access, and support equitable outcomes in a fast-paced, student-focused environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING
: Student & Customer Service Support Serve as a primary front-line contact for dual enrollment inquiries via phone, email, and in-person interactions including cross-functional support of Welcome Center front desk operations as needed. Provide accurate information regarding dual enrollment, Early Middle College, admissions, registration, policies, and student services. Support students with application access, account troubleshooting, password resets, and system navigation (CRM/Colleague). Manage main departmental phone lines and email inboxes, ensuring timely and professional responses. De-escalate and triage complex or sensitive student/customer concerns and escalate appropriately to supervisory staff when needed. Maintain a welcoming, professional environment for all visitors and stakeholders. Enrollment & Process Management Process dual enrollment and Early Middle College applications, authorization forms, transcripts, test scores, and related documentation. Utilize CRM Recruit, CRM Advise, and Colleague Student Information System to manage student records and enrollment workflows. Initiate and track CRM tasks to ensure timely follow-up by advisors, recruiters, and support staff. Coordinate with Admissions, Registrar, Advising, Student Billing, and other departments to resolve enrollment barriers. Assist with registration, add/drop, withdrawal processes, and course scheduling support for dual enrolled students. Ensure accurate routing and processing of incoming documentation and communications Records Management & Reporting Maintain accurate and organized student records in compliance with institutional policies and procedures. Scan, file, and maintain electronic records related to dual enrollment processes. Run and analyze reports related to enrollment, retention, grades, and cohort tracking. Verify student enrollment status and ensure proper tracking for end-of-term and annual reporting requirements. Audit transcripts and articulation records to ensure proper credit awarding and prerequisite compliance. Document all student and partner interactions within CRM systems. Office Operations & Event Coordination Coordinate scheduling and logistics for dual enrollment events, including school visits, counselor meetings, orientations, and student engagement activities. Reserve rooms, prepare agendas, coordinate technology needs, and manage event materials. Maintain office supplies, promotional materials, and printed resources in collaboration with internal departments. Support continuous improvement of departmental procedures and SOP documentation. Assist with calendar management, meeting coordination, document preparation, and general administrative support. Ensure office environment is organized, functional, and welcoming. Collaboration & Continuous Improvement Collaborate with Admissions, Secondary Articulation, Advising, Success Coaching, IT, and other departments to support student success. Identify and communicate system or process barriers affecting student enrollment or retention. Support data-informed decision-making through accurate reporting and feedback. Participate in team meetings, training, and process improvement initiatives. Contribute to equity-focused enrollment and retention strategies. To be successful in this position, an individual should have: A strong commitment to student success, equity-minded practice, and student-centered decision-making. Excellent customer service and interpersonal communication skills. Experience with CRM systems and student information systems (or ability to quickly learn). Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Ability to manage multiple priorities in a high-volume, deadline-driven environment. Strong attention to detail and data accuracy. Ability to interpret and communicate institutional policies and procedures. Demonstrated ability to work independently and collaboratively in a team environment. Ability to handle confidential information with professionalism and discretion Required Qualifications Associate degree or equivalent combination of education, training, and relevant experience. 1-3 years of progressively responsible administrative, student services, or higher education office experience Additional Experiences Considered Application Deadline Position will remain open until filled.
