Job Responsibilities:
100% - Achieve Pediatric Blood and Marrow Transplant and Cellular Therapy (BMT/CT) Division Administrative Goals Administration 60% Develop, implement, and oversee administrative and operational workflows for assigned programs and projects. Manage and coordinate all aspects of the BMT learners' educational program as well as a weekly hybrid BMT conference. Plan, oversee, and execute a biannual large national conference, as well as additional events as needed. Conduct analyses of administrative processes and provide recommendations to improve operational effectiveness and alignment with division and departmental goals. Represent the BMT/CT Program to internal and external partners, agencies, and stakeholders. Proactively identify potential issues, independently resolve problems, and escalate when appropriate. Communicate policies and procedures clearly and effectively to faculty, staff, and learners. Utilize detailed knowledge of faculty research projects, timelines, and deliverables to ensure timesensitive requests and milestones are met. Manage visa process for postgraduate students, staff, or others as needed. Marketing 20% Manage, update, and optimize website content for all BMT program webpages. Create and produce social media copy, graphics, and digital assets to support program visibility. Lead and coordinate marketing efforts for the BMT program, ensuring consistent branding and effective outreach. Monitor and report on key social media metrics. Faculty Support 20% Serve as the primary administrative point of contact for assigned division faculty. Manage several complex faculty calendars, including prioritizing and scheduling appointments and planning meetings for assigned faculty. Independently update faculty CVs, and biosketches on a regular and ongoing basis for assigned faculty. Obtain and process documentation for performance appraisals, promotion and tenure, and committee responsibilities, as assigned. Coordinate travel arrangements for meetings, conferences, and speaking engagements (airline reservations, hotel reservations and meeting registration). Submit travel and miscellaneous expenses for reimbursement. Manage professional and journal memberships for assigned faculty. Onboard new faculty including ordering computers, phones, pagers, and other equipment as necessary. Essential Employees The successful candidate will be designated as an Essential Employee. Essential Employees are expected to report to campus during a University State of Emergency (reduced operations or campus closure) unless specifically directed by the Department not to report or if directed by civil emergency or medical authorities not to report for health and safety reasons. As an Essential Employee, you must report to campus even if the closure is less than 3 days. Qualifications All required qualifications must be documented on application materials
Required Qualifications:
BA/BS or a combination of related education and work experience totaling four years. Demonstrated experience managing complex administrative programs or projects, including coordinating schedules, meetings, deliverables, and deadlines for multiple stakeholders. Proven ability to independently prioritize and execute work for multiple faculty, programs, or leaders in a fastpaced academic or healthcare environment. Experience planning and coordinating meetings or events, including logistics, scheduling, materials preparation, and followup. Strong written and verbal communication skills, with experience drafting professional correspondence, summaries, or program materials for diverse audiences. Advanced proficiency with Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and Zoom, including calendar management and document formatting. Demonstrated organizational accuracy and attention to detail, particularly when handling confidential or timesensitive information. Ability to identify administrative issues, recommend solutions, and escalate appropriately using sound judgment.
Preferred Qualifications:
Experience in academic medicine, healthcare, or research, supporting clinical and/or academic faculty. Experience coordinating educational programs, seminars, or recurring academic conferences. Experience planning or supporting large or multiday conferences or national meetings. Ability to independently update faculty CVs and biosketches and support performance review, promotion, or tenure processes. Experience maintaining web content or basic marketing and social media materials, including tracking engagement metrics. Experience supporting manuscripts or presentations, including editing for grammar, formatting, citations, and figures. Familiarity with visa processing or international scholar support. Demonstrated initiative, strong problemsolving skills, and basic project management experience.
Pay and Benefits Pay Range:
$70,000 - $80,000/year depending on education/qualifications/experience
