Job Description

The Assistant Director for Union and Involvement (U&I) Services - Involvement and Engagement position is designed to create a sense of community and affinity to the University by coordinating/overseeing involvement and engagement initiatives for the department and assisting with critical aspects of facility needs. This position serves as a primary backup for the Executive Director of the Student Union and Campus Recreation, and will supervise professional staff in the absence of the Executive Director. It is expected this role will have a shared responsibility with other Union and Involvement Services staff members for the efficient, safe, and effective functioning of all student events and Union needs. This position also has primary responsibility for supervising, mentoring and/or advising student leaders affiliated with the Student Activities Board, Funds Allotment Council and Homecoming Committee in addition to U&I staff. Work is reviewed principally through discussion and observation of the results obtained. The majority of the functions of this position are performed in an office environment. This position requires some evening and weekend work.
SPECIFIC DUTIES AND RESPONSIBILITIES
Supervision/Advising:
Assist with the recruitment, interview, hiring, training, and supervision of student employees.
Direct oversight for select roles/positions:
Engagement and Organizational Development Staffs, Leadership Specialist, etc.; Serve as a primary advisor of Student Activities Board (SAB) and Funds Allotment Council (FAC) - assist with any relevant training, selection, programming and on-going initiatives; Provide direct oversight/advisement to the Homecoming Coordinator and Committee; Ensure that student employees know the mission and goals of the University, Student Affairs and Union and Involvement Services; Ensure that student employees demonstrate excellent service for internal and external customers; Accompany student delegations, when appropriate, to organizational leader training and/or conferences when applicable; Serve as an advocate for students and their needs;
Involvement/Programming/Engagement:
Serve as the Departmental contact for all involvement and engagement activities; Set engagement agenda/calendar for each academic term; Build partnerships and collaborations across campus to provide campus-wide programs and events designed to build community, promote leadership, foster engagement and retention; Provide oversight and ensure compliance and active development of approximately 240 student organizations; Oversee the coordination of the new student organization recognition process; Direct student coordinators in the planning, development and execution of relevant student organization programming which includes but is not limited to Involvement Fairs, Leadership Recognition, etc. Oversee and develop in person and online resources and training for students, organizations, and advisors that meets educational, cultural, and social needs of organizations; Be a resource for all recognized student organizations as well as all faculty/staff advisors regarding leadership, risk management, movie rights, gambling, event planning, and general concerns; Provide recommendations for resource materials educating the campus community regarding services, programs and resources relevant to job responsibilities; Negotiate, revise, and execute all relevant contracts for the department
External Partnerships:
Serve on the Lyceum Committee and assist with program contracting; Assist with New Student Orientation and Truman Week; Represent the Department on the Truman Week and any other appropriate committees; Assist with New Student Move-In; Assistant to the
Director:
In absence of Executive Director, serve as a point person for the Department; Assist with annual budget planning, development and priority setting; Serve as primary backup for any issues related to Fraternity & Sorority Life; Assist with facility issues/concerns; Assist with identifying needs for building improvements and furnishings replacements; Examine, analyze, and evaluate Union and Involvement Services' operations in order to: maximize the current and potential use of the facility, identify opportunities and challenges, and ensure programs and services are inclusive; Work with the Executive Director to create an annual report for internal and external constituencies summarizing activities, data, emerging trends, strategies for improvements and for taking advantage of emerging opportunities; Other duties as assigned.
DUTIES AND RESPONSIBILITIES SHARED WITH ALL UNION AND INVOLVEMENT STAFF MEMBERS
Provide a welcoming environment for all customers that interact with Union and Involvement Services; Engage in professional development to remain up-to-date and to network; Strive to ensure that the needs of colleagues, clients, and visitors are met in a timely, courteous, and competent manner. Manage resources wisely; Understand the vision of the University, Student Life, and the Union and Involvement Services and work toward the achievement of related goals; Keep current on legal and ethical considerations related to assigned duties; Understand and advocate for the needs of diverse student populations; Comply with University and Union and Involvement Services' policies and expectations; Demonstrate excellent interpersonal, written, oral, and presentation communication skills; Model professional behavior for student staff, external constituencies, and clients; and Make presentations per request; Work select evenings and weekends; and Participate in an "on call" rotation.
ESSENTIAL FUNCTIONS
Must be able to occasionally lift and/or move up to 50-75 pounds. Needs a driver's license with a satisfactory driving record. Must be able to communicate by telephone on a daily basis. Must be able to operate computers, copy machines, and other standard office equipment. Must be able to handle multiple and complex tasks simultaneously. Must be able to communicate through direct contact on a daily basis. Must be able to perform basic mathematical functions. Must be able to prepare and understand basic statistical reports. Must be able to work with university hardware and software as needed.
Qualifications Required:
Bachelor's degree earned by start date; Experience with all aspects of programming, event management and risk mitigation including, but not limited to, developing outcomes, goal setting, project planning, implementation/logistics, evaluation and reporting; Supervisory experience including, but not limited to scheduling and managing employees, ability to provide clear directions and respond accordingly to employees, implement strategies to build a successful team, and mentoring professionals and/or students; Involvement and/or leadership experience with a campus programming board or other student organization; Excellent organizational, communication and interpersonal skills to represent and support departmental initiatives across campus and with community partners; A demonstrated commitment to supporting all members of the campus community; Proficient in basic computer skills and/or programs (i.e. Microsoft, Google, Zoom, and other applicable software systems); Ability to handle and prioritize multiple tasks;
Preferred:
One year of professional work experience; Two or more years of experience with programming boards in either an advisory or leadership capacity; Experience working with budgets and contracts; Experience in NACA and/or ACUI or other relevant professional association.
Salary:
Starting annual salary range is $40,000 to $45,000 commensurate with experience.
