JOB PURPOSE
The Provost takes broad responsibility for the planning, development and administration of the University's educational programs, support services, operations and maintenance. Provides leadership direction and advocacy for a comprehensive array of student affairs with the purpose of student success in meeting their educational goals. Oversees all academic colleges, enrollment, graduate studies, student services, and institutional data and reporting. This position description indicates in general the nature and levels of work, knowledge, skills, and abilities. It is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities required or assigned to this position.
JOB DUTIES & RESPONSIBILITIES
  • Oversees the overall academic integrity of the entire institution.
  • Develops and approves departmental plans, goals and objectives and ensures compliance to contractual obligations, requirements, and the strategic plan.
  • Achieves financial objectives by preparing and administering the operational budgets.
  • In consultation with faculty, officers and Regents, the Provost is responsible for all strategic plans and initiatives, and for coordinating institutional academic, financial and facilities planning.
  • Hosts regular staff meetings to ensure communication among personnel regarding departmental activities.
  • Oversees the supervision of staff, including work allocation, scheduling, training, and problem resolution.
  • Increases staff effectiveness by recruiting, hiring, selecting, orienting, training, coaching, counseling, evaluation and disciplining, and terminating personnel appropriately; communicates values, strategies, and objectives.
  • Obtains, develops and maintains necessary personnel, training, and equipment to achieve financial, operational, and compliance expectations.
  • Preparing and maintaining departmental budgets and oversee compliance throughout fiscal year; time keeping and approval.
  • Creates and enforces academic policies and operating procedures.
  • Provides leadership, vision, direction and advocacy for a comprehensive array of student affairs, which support completion and students' success in meeting their educational goals.
  • Serves as Chief Academic Officer of the University; serves as Officer in Charge in the absence of the President
  • Participates as a member of the President's Cabinet and assists the President and other senior managers in achieving priority institutional objectives identified in the University's Strategic Plan
  • Creates the annual Operational Plan for the division of Academic and Student Affairs; oversees and guides the creation and implementation of annual operational plans for the Academic and Student Affairs leadership team and assists others in achieving priority institutional objectives; evaluates progress toward goals and objectives.
  • Prepares the annual budget for the division of Academic and Student Affairs, in line with the University's strategic priorities.
  • Ensures that the activities of Academic and Student Affairs meet the requirements of the College's accrediting and licensing agencies
  • Supports academic and student support services activities with initiatives and innovations in programs that respond in a timely manner to a rapidly changing environment.
  • Assists with major grant and funding agency reporting, including compilation of data and statistics.
  • Oversees the assessment of all academic and student affairs programs and services to measure and plan continuous improvement.
  • Reviews the program mix to ensure that academic programs that directly support the needs of the community are initiated and maintained.
  • Supports mutually beneficial partnerships between the University and business/industry, not-for-profit organizations and other educational institutions.
  • Provides leadership in the incorporation of instructional technologies to improve student learning.
  • Participates in student and staff disciplinary meetings.
  • Maintains regular communication and working relationship with other areas of the University, keeping them informed of current activities and working with them to achieve institutional priorities.
  • Reviews, signs, and provides final authorization for claim forms, travel requests, budget encumbrances, requests for temporary employees, equipment purchases, personal service agreements, etc.
  • Prepares an annual report on the activities of the Academic and Student Affairs area.
  • Contributes to the organization's effectiveness by offering information and opinion as a member of the executive management team; integrating objectives with other functions; accomplishing related results as needed.
  • Maintains strict confidentiality of all privileged information.
  • Maintains professional and technical knowledge by conducting research, attending seminars, educational workshops, classes and conferences; reviewing professional publications; establishing networks; participating in professional societies; conferring with representatives of contracting agencies and related organizations.

MINIMUM QUALIFICATIONS/REQUIREMENTS
  • Doctoral degree in Education, Administration, Student Affairs or related field.
  • Seven years progressive work experience in overseeing instructional, administrative, budgetary, and operational functions in higher education.
  • Five years in supervisory or management capacity.
  • Valid and clean state driver's license.
  • Must be able to pass background check, with NO prior convictions of any felonies and no history of child abuse and/or neglect.

KNOWLEDGE, SKILL AND ABILITY REQUIREMENTS
  • Knowledge of applicable federal, state, county and local laws, regulations, and requirements.

  • Skill in operating business computers and office machines, including in a Windows environment, specifically Word, Excel, Access, presentation software (such as PowerPoint), and PC-based computerized accounting software.
  • Skill in preparing, reviewing, and analyzing operational and financial reports.
  • Skill in providing leadership to, supervising, training, and evaluating assigned staff.
  • Skill in analyzing problems, projecting consequences, identifying solutions, and implementing recommendations.

JOB PURPOSE

JOB DUTIES & RESPONSIBILITIES
1. Food Preparation, serving, and mealtime oversight. 1. Preparing all meals; breakfast, snack, lunch, including nutrition education. 2. Serve daily family style eating. 3. Sanitize eating areas after all meals. 4. Grocery shopping. 5. Manage food menu records and documents. 6. Maintain proper storage of all food, thawing of foods, and proper food labeling. 7. Ensure product rotation using first-in-first-out (FIFO) methodology; checks refrigeration units, shelves new product and makes sure old product is utilized first. 8. Adhere to Child and Adult Care Food Program guidelines and requirements. 2. Nutrition Education 1. Prepare and apply lesson plans with developmentally appropriate activities. 2. Sets up classroom environment. 3. Manage documentation of nutrition education activities. 3. Sanitizing, laundry, and child safety. 1. Knows and complies with environmental health law and regulations. 2. Keeps the center clean and healthful. Washes, rinses and sanitizes dishes, and equipment. 3. Sanitizes classroom equipment, and learning materials daily. 4. Practices personal hygiene with children. 4. Support the Child Care Aides 1. Supervises children ages 6 months to 9 years, ensuring a safe, healthy learning environment. 2. Implement lesson plans in a manner that will develop each child's physical, emotional, intellectual, and social behavior; assists with planned activities to stimulate growth in language, social, and motor skills. 3. Performs other job duties as assigned.

JOB PURPOSE
Performs administrative and technical functions associated with grants, contracts, and other agreements from external funding sources. Administers and monitors the University's grants and contracts and ensures all grants and contracts are maintained in accordance with contractual requirements and applicable laws, regulations, policies, and procedures. JOB DUTIES & RESPONSIBILITIES
  • Identifies and communicates potential funding opportunities to principal investigators (P.I.), departmental administrators and other support staff.
  • Reviews proposal applications in accordance with required specifications required by the funding agencies; ensures all items are outlined in the agency solicitations and institutional documentation; reviews proposed costs and ensures that all allowable costs are included.
  • Prepares bids, process specifications, test and progress reports, and other qualifications required.
  • Reviews bids from outside vendors or agencies for conformity to grant or contract requirements. Determines acceptable bids.
  • Coordinates budget preparation and design with faculty for contracts, grants and subcontract applications.
  • Secures a fund number for each grant or contract awarded.
  • Maintains a current knowledge of changing institutional policies and federal requirements governing externally funded grants and contracts.
  • Reviews and monitors project spending to ensure funds received are expended according to federal, state and University regulations.
  • Makes requests for additional or supplemental approvals from funding sponsor when required by a grant or contract.
  • Requests or recommends amendments to, or extensions of, grants or contracts.
  • Participates in beginning phases of programs to ensure accurate startup in compliance with funding agencies.
  • Ensures compliance with contractual obligations and requirements.
  • Coordinates required actions on correspondence, forms, financial reports, and other documents before submission to funding agencies.
  • Reviews official directives and correspondence to ensure compliance by the University as prescribed by federal, or state agencies on program policies, procedures, and new assignments or responsibilities.
  • Organizes and monitors the communications between Accounting and P.I.'s to ensure that proposals or requests for re-funding are properly budgeted.
  • Assists in the timely submission of financial reporting for funded programs by coordinating scheduled budget meetings with Accounting staff and P.I.'s.
  • Prepares SEFA and other financial reports. Participates in the annual audit.
  • Establishes and maintains an electronic and hard-copy master list and filing system, with back up files, for documents and records. Researches, retrieves and assembles records upon request and general description.
