Summary Assists in the daily operations of the Office of Alumni Affairs including event coordinating, clerical work and the implementation of projects that promote philanthropic giving to Western New Mexico University. Duties Coordinates and manages relationships of the University Foundation and Alumni Affairs with corporations, foundations, and individuals from whom funds are sought for various programs and projects.
Works with department staff to ensure efficiency and accuracy of gift acknowledgements and tax receipting.
Maintains records, files, and communications related to campaigns, appeals, giving clubs, fundraising endeavors, and office operations as assigned.
Works together with staff to update and ensure accuracy of all constituent records. Researches and collects pertinent data to assist in compiling a thorough database. Reports and compiles data for appropriate advancement needs.
Provides direct administrative support to the Director of Development and Alumni Relations and serves as a liaison between the Office of Alumni Affairs and the Alumni Association Board of Directors.
Coordinates meetings as needed or assigned including arranging for space, receiving RSVPs, purchasing supplies, and set up/tear down from meetings.
Utilizes technology-based tools and software to create content for and publication of online materials including emails and e-newsletters.
Collaborates with appropriate university areas to initiate and identify institutional funding needs and giving opportunities.
Supports, plans, and coordinates special events to engage alumni, constituents, campus community, and regional communities. Attends events and activities important to volunteers, alumni, the university, and community involvement.
Provides a broad range of administrative and supervisory functions. Supervises assigned staff in accordance with WNMU personnel practices including recruitment, training, performance evaluation, guidance, etc. Participates in the process of ongoing personal and professional development. Maintains comprehensive communication among all contacts (internal and external). Models professional standards and ethics in accordance with WNMU philosophy.
Performs other duties as assigned. Education/Background High School Diploma or GED required. Some college preferred. Proven experience in administrative support, fluent knowledge of Microsoft Office Suite required. Bilingual (Spanish) preferred. Job Knowledge Must be knowledgeable of university policies and procedures. Must be able to handle multiple deadlines and maintain accuracy. Must be able to think strategically and creatively and to effectively interact and network with sophisticated donors and help engage a dynamic and diverse constituency toward a common goal of supporting the foundation mission. Must have exceptional organizational skills and the ability to effectively prioritize and manage multiple projects and priorities simultaneously. Must have superior communications skills in writing and public speaking. Work as a team player who is able to build positive relationships to accomplish common goals and objectives through managing tasks, and taking on appropriate responsibility and accountability. The ability to make decisions based on information available. Able to cope with uncertainty and an attitude to adapt to change, get things done, and willingness to try new things and improve processes. Working Conditions/ Physical Demands (With or Without Accommodations) Normal office environment, may travel some within the community when needed. May be required to transport normal office equipment and materials. Ability to comprehend and work with a variety of information from various sources. Able to clearly communicate with a diverse population of individuals. Ability to compose correspondence and reports and remain in a sedentary position for prolonged periods of time. May be required to work additional hours or days depending on circumstances. Other Requirements a. Requires a valid driver's license.
b. Required to complete Defensive Driving Course within 6 months. (If applicable to the role) Location Silver City-On Campus
