William & Mary's Charles Center invites applications for a Program Coordinator to support Democracy Scholars, a living-learning community for first-year undergraduate students. This role manages programming, student recruitment and onboarding, event planning and coordination, and communication efforts. The successful candidate will work in close collaboration with the Democracy Scholars Faculty Director and Faculty Fellow and will report to the Associate Director of the Charles Center. This position requires some evening and weekend hours.Primary responsibilities include:
- Planning and implementing programming activities, including events.
- Managing the program's application cycle.
- Facilitating clear and consistent program communication.
- Monitoring program budgets and providing data for reporting and assessment.
- Supporting engagement with faculty, alumni, and guest contributors.
Job Description:
Required Qualifications Bachelor's degree in a relevant field or equivalent combination of education, training, and/or experience. Demonstrated ability to communicate effectively with students, faculty, and internal/external partners (both verbal and written). Demonstrated experience and competency working collaboratively with diverse populations of students, faculty, and the public. Demonstrated proficiency in computer skills to include Internet browsers and Microsoft Office applications. Excellent organizational skills and attention to detail. Preferred Qualifications Master's degree in an academic discipline or in higher education. Experience working in a higher education environment. Experience supervising students or staff. Demonstrated ability to develop, interpret, and implement policies and procedures. Experience with various web-based communications resources including survey and design platforms such as Constant Contact, Qualtrics, and Canva or equivalent. Conditions of Employment Occasional evening or weekend work required to meet the needs of special programs. This is a non-exempt position, which may be eligible to receive overtime in accordance with the Fair Labor Standards Act This is a primarily on-site position, with the option to work remotely up to one day per week. 35•Living-Learning Community Programming:
Collaborate with Democracy Scholars Faculty Director and Faculty Fellow to develop LLC programming. Deliver, and support the implementation of LLC programming activities. Supervise, train, and mentor Democracy Scholars student fellows to facilitate routine enrichment, social, and mentorship programming for the Democracy Scholars program throughout the academic year. Coordinate onboarding of student staff in collaboration with Faculty Director and Charles Center staff. Serve as dedicated Charles Center liaison with Residence Life for living learning programs, including summer housing. 20•Application Cycle Management:
Partner with University Marketing and Admissions to develop and deliver communications for newly admitted students. Advertise application opportunities for Democracy Scholars. Represent Democracy Scholars at Day for Admitted Students and other campus events. Manage student application logistics by tracking/organizing application materials, coordinating selection process with CC staff, and following up with students as needed. Partner with Faculty Director and Charles Center staff to evaluate applications. Manage communications with prospective scholars throughout the application cycle. Facilitate enrollment of students in LLC courses. 15Administrative Management:
Work with Charles Center fiscal staff to monitor program budgets and funding sources. Collaborate with Charles Center staff on assessing Democracy Scholars LLC. Provide data for donor reports, grant reporting, and assessment. Provide backup support for the departmental Honors program. 10
Communication:
Maintain Democracy Scholars website and social media to ensure accurate, timely, and engaging information. Respond promptly to student emails and make referrals to other campus resources as necessary. Assist with other communication efforts via the Charles Center website, social media, and email campaigns to reach stakeholders including donors, faculty, staff, and students. 10Faculty and Professional Coordination:
Assist Faculty Director and Faculty Fellow with recruiting and supporting faculty, staff, alumni, donors, and community guest speakers for Democracy Scholars LLC courses and events. 10
Event Management:
Coordinate and support Democracy Scholar LLC events, including setup, cleanup, audiovisual setup, catering, tracking RSVPs and attendance, etc. Provide support for Charles Center and All Scholars events.Additional Job Description:
