This role is ideal for someone who enjoys working with families, children, and staff in a fast-paced school environment and who takes pride in creating an organized, welcoming, and responsive experience for both current and prospective families. The Front Office Manager plays a key role in parent communication, admissions support, enrollment follow-up, front desk operations, and overall school coordination. We are looking for someone with a proactive, go-getter attitude who is willing to jump in, problem-solve, and help wherever needed to support the school team. Responsibilities Serve as the first point of contact for parents, visitors, staff, and prospective families Answer phones, respond to inquiries, and route messages professionally Manage incoming admissions and enrollment leads through the school's CRM system Conduct timely follow-up calls, emails, and outreach with prospective families Schedule and coordinate school tours and admissions appointments Maintain consistent communication with prospective families throughout the enrollment process Support enrollment, registration, and onboarding processes Maintain student and staff records with accuracy and confidentiality Assist with tuition payment processing and general school billing support Prepare, organize, copy, and distribute school communications and materials Maintain office organization, filing systems, and front desk presentation Coordinate forms, schedules, sign-in/out sheets, and administrative documentation Support Directors and Leadership Team with administrative and operational tasks Assist with arrival, dismissal, and daily school flow Coordinate office supply orders and maintain office equipment Help maintain a warm, welcoming, and professional school environment Occasionally assist classrooms or provide operational support when needed Roll up sleeves and assist with day-to-day school operations wherever support is needed Communicate the school's philosophy, programs, and policies professionally to families and visitors Maintain professionalism, discretion, and confidentiality at all times Qualifications Prior experience in a preschool, daycare, private school, or early childhood setting preferred Prior administrative, front desk, office management, admissions, or customer service experience preferred Experience managing leads, follow-up communication, or admissions pipelines preferred Experience using CRM or lead management systems preferred Proficiency with Microsoft Office required Strong communication and customer service skills Bilingual English/Spanish required Highly organized with strong attention to detail Ability to multitask and remain calm in a busy school environment Dependable, professional, and proactive Self-starter with a strong work ethic and willingness to take initiative Comfortable using computers, email, and office systems Team-oriented with a positive attitude Position Details Full-time salaried position Monday through Friday Typical hours: 8:00 AM - 4:00 PM In-person position Benefits 31 paid holiday/vacation days aligned with school closures 3 paid sick days annually Paid holidays available after 90-day waiting period Supportive and collaborative school environment Opportunities for professional growth within a growing school organization Ideal Candidate Traits Professional and dependable Warm and people-oriented Detail-oriented and organized Adaptable and flexible Proactive and solution-oriented Able to work independently while supporting a team Comfortable in a fast-paced environment Willing to step in and help wherever needed
