Job Description

Overview We are seeking a dynamic and organized Childcare Administrative Assistant to join our vibrant team! This role is essential in ensuring the smooth operation of our childcare center by providing exceptional administrative support, managing daily office functions, and fostering a welcoming environment for families and staff alike. The ideal candidate will bring enthusiasm, strong organizational skills, and a passion for supporting early childhood education. Duties Serve as the first point of contact at the front desk, greeting visitors, families, and staff with professionalism and warmth Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using excellent phone etiquette Maintain accurate records through data entry, filing, and document proofreading to ensure compliance and organization Oversee calendar management for staff schedules, appointments, and parent meetings using Google Workspace and Microsoft Office tools Handle bookkeeping tasks utilizing QuickBooks for billing, invoicing, and financial record keeping Support office management duties including supply inventory, mail distribution, and maintaining a tidy work environment Provide exceptional customer support by addressing parent questions, assisting with enrollment processes, and ensuring positive communication Qualifications Proven office experience with strong clerical and administrative skills in a fast-paced environment Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with bookkeeping software such as QuickBooks is highly desirable Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Bilingual abilities are a plus to assist diverse families and staff members Strong typing skills along with attention to detail for proofreading documents and data entry tasks Previous experience in office management or personal assistant roles is beneficial Demonstrated customer service skills with professional phone etiquette and a friendly demeanor Join us in creating a positive impact on young learners' lives while developing your administrative expertise!
