Job Description

Join our vibrant Early Childhood Center team as an Early Childhood Center Administrative Assistant! In this dynamic role, you will be the welcoming face of our center, ensuring smooth daily operations and providing exceptional support to staff, parents, and visitors. Your energetic and organized approach will help create a nurturing environment where children thrive. This paid position offers an exciting opportunity to develop your office management skills while making a positive impact on young learners and their families. Responsibilities Serve as the primary front desk receptionist, greeting visitors and managing inquiries with friendly professionalism Operate multi-line phone systems, directing calls efficiently and courteously while maintaining excellent phone etiquette Manage appointment scheduling and calendar organization for staff and center activities using Google Workspace and Microsoft Office tools Perform data entry, maintain accurate records, and handle filing systems to ensure organized documentation of center activities Assist with bookkeeping tasks using QuickBooks, including invoicing, tracking expenses, and basic financial record keeping Support office management duties such as supply inventory, document proofreading, and maintaining a clean, welcoming environment Provide customer support to parents and staff by addressing questions promptly and offering helpful information in both English and bilingual communication as needed Experience Prior office experience in a childcare or educational setting is highly preferred Demonstrated clerical experience with strong organizational skills and attention to detail Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Familiarity with database management systems such as Shul Cloud Excellent time management skills with the ability to prioritize tasks efficiently in a fast-paced environment Strong interpersonal skills with professional phone etiquette and customer service orientation Experience with data entry, filing, proofreading, and handling multi-line phone systems is desirable Manage and process registration and enrollment forms and contact information Schedule tours for new families, and update program waitlists as needed Manage general school supply ordering Process invoices -Oversee ECC billing This role is essential in creating a warm, organized atmosphere that supports early childhood development.
