JOB TITLE
: Program Support Specialist
REQUIREMENTS
Bachelor's degree in Social Work, Psychology, Human Services, Business Administration, or Project Management, and two years of work experience in a related field, such as social services, project coordination, or administrative support. Advanced computer skills and the ability to prioritize and meet deadlines in a fast-paced work environment. Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) with the ability to type 45 to 50 WPM Ability to compile, interpret, and analyze various data Excellent verbal and written communication skills Familiarity with office management procedures and quality control mechanisms Strong organizational, problem-solving, time management, and analytical skills Ability to multi-task to manage workflow Ability to handle confidential information with discretion Acceptable criminal records checks, Motor Vehicle Report (MVR), and other required background checks are necessary to ensure the safety and well-being of the children and families we serve
JOB DESCRIPTION
The Program Support Specialist is responsible for providing advanced administrative support and project-based work to support the essential functioning of the Foster Care Program and its program initiatives. This role offers a unique opportunity for growth and development, as the Specialist will handle multiple responsibilities with precision and professionalism under the supervision of the Senior Vice-President of Foster Care and Prevention Services. From administrative duties to coordination and communication, this role is essential to the efficiency of the program. The Program Support Specialist provides administrative support to the Senior Vice-President of Foster Care and Prevention Services to support the team in oversight of program quality and efficiency. The Program Support Specialist will assist the team in meeting deadlines, streamlining processes, conducting internal audits, maintaining records, entering data, analyzing data, filing, providing administrative grant support, and assisting with special events and projects as needed to ensure that program goals are met effectively
JOB RESPONSIBILITIES
Completes data entry, including creating and maintaining electronic case files Inputs program data into GA SCORE, ASI-Ware, and other databases as required Manages and maintains program schedules and calendars Prepares and distributes meeting agendas and minutes Provide prompt and helpful responses to all general program inquiries Conducts industry-related research and compiles data for reports and presentations as needed Tracks program metrics according to goals set by the Senior VP of Foster Care and Prevention Services and generates performance reports Performs internal audits and reports results to the Senior VP of Foster Care and Prevention Services monthly Performs quarterly PQI compliance audits Completes online clearance checks, MVR screenings, OIG screenings, Drug Screenings, and reference checks for all prospective foster parents. Maintains office supplies and ensures adequate materials are available for all orientation binders, Pre-Service binders, New Hire training binders, NTDC training binders, Foster Parent Guidebooks, TBRI materials, and other training materials as needed. Uploads documentation across multiple platforms for the licensing department, FRC, and Family Consultant team as needed. Provides administrative support to maintain program funding sources Disseminates weekly placement availability to referral sources and assists with referral matching as needed Creates initial placement binders for foster children in collaboration with the Family Consultant Supervisor Maintains active and archived client and parent files within a dedicated filing system Assists as needed with events and special projects Maintain accurate program records and documentation to ensure compliance with agency policies, funding requirements, accreditation standards, and applicable state and federal regulations Other duties as assigned
