Job Summary We are seeking an energetic and detail-oriented Client Care Specialist / Front Desk professional to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to clients and visitors. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive experience for everyone who walks through our doors. Responsibilities Greet clients, visitors, and vendors warmly, ensuring a professional and friendly atmosphere at all times Manage multi-line phone systems efficiently, directing calls accurately and courteously Handle appointment scheduling, calendar management, and coordinate meetings using Google Workspace and Microsoft Office tools Perform data entry, filing, and maintain organized records with attention to detail and accuracy Support office management tasks such as bookkeeping with QuickBooks, invoicing, and basic bookkeeping duties Assist with clerical duties including proofreading documents, managing correspondence, and maintaining office supplies Provide exceptional customer support by addressing inquiries promptly and professionally via phone or email Skills Proven experience in front desk operations or office management roles with strong organizational skills Excellent phone etiquette with the ability to handle multiple lines confidently in a fast-paced environment Bilingual abilities are highly valued to serve diverse client needs effectively Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry software Strong clerical skills such as proofreading, filing, and document management Experience with QuickBooks for bookkeeping or basic financial record keeping is preferred Exceptional time management skills with the ability to prioritize tasks efficiently Personal assistant or administrative support experience is a plus for handling calendar management and supporting team needs Join us to be the friendly first point of contact that sets the tone for a positive client experience!
