Job Description

Position Summary:
The Student Program Assistant supports the administration and coordination of the student training programs within a hospital environment. This role is integral to the education leadership team and ensures smooth day-to-day operations while maintaining compliance with accreditation standards, including those set by the Accreditation Council for Graduate Medical Education (ACGME) and the Commission on Collegiate Nursing Education (CCNE). This position involves a combination of administrative coordination, trainee support, and program management, requiring strong organizational skills, attention to detail, and the ability to work collaboratively in a fast-paced healthcare setting.
Critical Tasks:
Assist in managing the day-to-day operations of one or more residency and/or fellowship programs. Provide oversight and administrative support for the daily operations of multiple student education and training programs, including Medical, Nursing, and Ancillary Clinical Rotations, Shadowing, Residency, and Fellowships. Support onboarding, orientation, and potential recruitment processes for trainees. Coordinate scheduling of interviews, rotations, meetings, and educational events. Maintain accurate program documentation to ensure compliance with accreditation requirements. Manage and maintain data within student program portals and related tracking systems. Assist in preparing materials and reports for program reviews and audits. Support evaluation processes, including collecting and organizing trainee and faculty feedback. Provide administrative and logistical support to faculty and all trainees. Help develop and maintain training materials, schedules, and program resources. Facilitate communication between trainees, faculty, and internal/external stakeholders. Assist with program coordination, data collection, recordkeeping, and reporting for program quality improvement initiatives while maintaining accurate records and ensuring the integrity of data within student program systems and documentation. Participate in event planning and special projects related to academic programs. Identify and help resolve operational issues while supporting continuous program improvement. Demonstrate knowledge of medical education accreditation standards, including those established by the Accreditation Council for Graduate Medical Education (ACGME) and the Commission on Collegiate Nursing Education (CCNE). Ensure compliance with accreditation standards and guidelines, including program and institutional requirements, and support quality improvement efforts within the healthcare education environment.
Required Qualifications:
Associate's degree with a minimum of 2 years of experience in an academic and/or healthcare setting OR a Bachelor's degree. Experience supporting educational programs or working in a healthcare environment preferred. Knowledge of medical terminology is preferred. Familiarity with graduate medical education processes or accreditation standards (e.g., ACGME, CCNE) is a plus. Demonstrates ability to relate to diverse cultures and specifically the Gila River Community and/or other Native American cultures and community health services. Native American population experience preferred.
