Job Summary The Site Program Assistant serves as the on-site lead for a Middle Tree expanded learning or specialized program operated on a partner school campus. This role is responsible for overseeing daily program operations, supervising site-level staff, and ensuring a safe, engaging, and high-quality student experience aligned with Middle Tree's mission and values. Reporting to the Program Manager, the Site Program Assistant provides leadership, mentorship, and operational support to tutors and program staff while maintaining strong communication with school personnel, parents, and district partners. This position plays a critical role in ensuring program quality, compliance, student engagement, and staff development. Program schedules may include after-school hours, non-instructional days (e.g., summer, winter, and spring breaks), and required meetings or trainings. Essential Duties and Responsibilities Site Operations & Program Oversight Oversee successful day-to-day site operations for assigned Middle Tree programs. Ensure all interactions operate ethically and consistently within Middle Tree's mission and core agreements. Ensure the effective implementation of tutoring, homework assistance, enrichment activities, and student engagement strategies. Supervise programming serving up to 140+ students at a designated school site. Step into direct service roles as needed to maintain program continuity and quality. Staff Supervision & Development Provide direct supervision, coaching, and mentorship to site-level staff and tutors. Conduct regular check-ins, offer constructive feedback, and reinforce training and behavior expectations. Model classroom management strategies and effective student engagement techniques in real-time. Participate in performance management of site staff. Collaborate with the Program Manager to establish performance goals and staff development plans. Student Safety & Positive Environment Maintain a safe, supportive, and inclusive environment for students and staff. Respond promptly and appropriately to incidents and emergencies. Ensure adherence to safety procedures during classroom and outdoor activities. Promote positive behavior, student engagement, and a strong learning culture beyond regular school hours. Data, Reporting & Compliance Track and maintain accurate student attendance and enrollment records (as needed). Maintain detailed site logs documenting activities, attendance, staff notes, and notable events. Prepare incident reports and ensure timely documentation. Ensure compliance with Middle Tree policies and district guidelines. Monitor program metrics and use data to identify areas for improvement. Ensure timely and accurate submission of staff timecards. Communication & Collaboration Serve as the primary on-site contact for school administrators, teachers, district partners, and parents. Maintain regular communication with the school principal and faculty to align program goals and address student needs. Collaborate with the Program Manager, other Site Leads, Trainers, and other Middle Tree staff to share best practices and resources. Foster positive relationships that strengthen the overall support system for students. Training & Professional Development Conduct staff training sessions as needed to strengthen instructional practices, classroom management, and cultural competence. Attend bi-weekly Site Lead meetings and required trainings. Participate in ongoing professional development to support continuous improvement. Additional Duties Float between classrooms as needed. Fulfill additional responsibilities as assigned to support program success. Duties and responsibilities may evolve based on organizational or site needs. Qualifications and Requirements Associate's degree or completion of 48 college credits required (Bachelor's degree preferred). Must pass the paraprofessional test (if applicable per district requirements). Minimum 2 years of experience working with children in an educational or structured setting. Prior supervisory or leadership experience preferred. Previous classroom experience required. Must meet minimum qualifications set by the partner school district. Fully available to work required program hours (Monday-Friday, typically 12:00 p.m.-6:00 p.m.). Ability to attend required meetings and trainings. CPR/First Aid certification (or ability to maintain within 48 hours of hire). Mandated Reporter certification (or ability to maintain within 48 hours of hire). Satisfactory TB test. DOJ and FBI background clearance (within 48 hours of hire). Preferred Qualifications Bilingual/Bicultural (Spanish) preferred. Experience in expanded learning, after-school, or tutoring programs. Strong record of reliability, professionalism, and positive performance. Skills and Competencies Strong leadership and team-building abilities. Excellent organizational and time management skills. Ability to communicate clearly and effectively with students, families, school staff, and colleagues. Ability to follow oral and written instructions and apply sound judgment. Comfort with public speaking and providing direction. Proficiency in Standard English (spoken and written). Familiarity with data systems, digital documentation tools, and email communication. Flexible, adaptable, and responsive in dynamic environments. Professional appearance and demeanor that models positive behavior for students.
