$21.69 per hour (Step 1) - $25.15 per hour (Step 4)Candidates who pass all of the examination processes are ranked on an eligibility list according to their score(s). Selection for the position will be made from among the top three (3) ranks of candidates. The eligibility list will be used for hiring purposes in other vacancies in the same, or equivalent, job classification and will be active for six (6) months (Merit Rule 50.100.1).The current vacancy is 8 hours per day, 10.5 months per year, at Westview High and is Benefits eligible.
Purpose StatementThe job of Athletic Program Assistant is done for the purposes of providing clerical and secretarial support duties within a high school athletics office involving independent judgment and action and requiring in-depth knowledge of the function or program; communicating program information to students, parents, staff, and the public; maintaining complete and accurate records; and assuring smooth and efficient office operations. This job reports to the Assigned Supervisor. EXAMPLE OF DUTIES
Essential FunctionsAttends and participates in department and/or in-service meetings for the purpose of conveying and/or gathering information required to perform job functions.
Collects and maintains data (e.g. verifies credentials, approved list of athletic drivers, stipend reports, athletic eligibility, etc.) for the purpose of preparing reports and/or processing forms and assuring program compliance.
Communicates program information and answers questions from internal and external parties (e.g. students, parents, staff, the public, requesting schools, etc.) for the purpose of providing general information and/or routing inquiries.
Coordinates and schedules a variety of projects, functions, and/or program components (e.g., athletic special events, transportation; schedules facilities and rooms; invitation list for awards recognition, etc.) for the purpose of completing activities and/or delivering services in a timely fashion; preparing and disseminating materials and information to student-athletes, parents, staff, and the public regarding various events and programs.
Inputs and/or processes a variety of data, documents, and materials (e.g., student-athlete attendance, California Interscholastic Federation (CIF) and league paperwork, work orders, requisitions, coach stipends, travel reimbursements, awards, certificates, banners, etc.) for the purpose of providing required information.
Maintains financial information, files, and records (e.g. requisitions, sports dues, monies for athletic attendance, payment for officials, etc.) for the purpose of ensuring that allocations are accurate and comply with established financial practices.
Maintains manual and electronic documents, files, records, and databases (e.g. letters, forms, reports, database for athletes, officials, staffing logs, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
Operates a variety of standard office equipment and assigned software applications (e.g., Synergy Home Campus, Arbiter, Huddle, GoFan, Canva, etc.) for the purpose of performing job functions; updating athletic team webpages and social media posts (e.g., team rosters, game schedules, athletic events calendars, etc.) in compliance with established administrative guidelines.
Orders and maintains inventory of supplies and materials (e.g. forms, office supplies, athlete participation and achievement letters, bars, pins, emblems, certificates, etc.) for the purpose of ensuring items' availability.
Performs specialized technical and clerical assistance support duties involving independent judgment and action within the Athletic Office for the purpose of ensuring effective functioning of the department; meeting regularly with the Athletic Director to review program activities and priorities; schedule appointments, meetings, and trainings (e.g., coaches' meetings, CPR/First Aid and safety training, sports physicals, teacher supervision duties, etc.).Prepares, distributes, collects, and processes documents and reports (e.g. form letters, memos, calendars, bulletins, periodic reports, P43s, specialized forms, packets, etc.) for the purpose of communicating information to other parties and/or agencies.
Presents information (e.g. sports scheduling, athletic transportation, parent information, new coaches' meetings, etc.) for the purpose of training and orienting other school personnel and/or disseminating information; working with coaches (new and returning) to comply with mandatory annual clearance in accordance with Education Code and district policies.
Reviews records according to program guidelines to assure continued eligibility of program participants; receives and reviews athletic clearance to assure compliance with program guidelines.
Works with various site offices and District departments (e.g., ASB, transportation, Personnel Support Services, Finance, etc.) for the purpose of coordinating program activities; may collect and account for various monies and fees for athletic events; may prepare bank deposits and maintain related accounting records (as assigned).Other FunctionsPerforms other related duties as assigned. Skills, Knowledge, and abilitiesSKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill-based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including using pertinent software applications; and preparing and maintaining accurate records.KNOWLEDGE
is required to perform basic math, including calculations using fractions, percents, and/or ratios; understand written procedures, write routine documents, and speak clearly; and understand complex, multi-step written and oral instructions. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include: District organization, operations, policies, and objectives related to assigned functions; concepts of grammar and punctuation; telephone techniques and etiquette; common office machines; and office methods and practices.

Working EnvironmentThe usual and customary methods of performing the job's functions require the following physical demands: sitting or standing for extended periods of time, physical mobility sufficient to move about the work environment (school office and campus) for sustained periods of time on hard flooring, stairs, ramps, uneven ground, hearing and speaking to exchange information in person or on the telephone, seeing to read, prepare and assure the accuracy of documents and view a computer monitor, some lifting, carrying, pushing, and/or pulling of supplies and equipment, some stooping, kneeling, crouching, and bending at the waist, and reaching overhead, above the shoulders and horizontally to retrieve and store files and supplies, and significant fine finger dexterity to operate a computer keyboard and other standard office equipment.
In accordance with Personnel Commission Rules and Regulations of Classified Service # 70.200.1, new employees to Poway Unified School District will be placed at Step 1 of the official salary range designated for the position. Any variances in initial placement are addressed in, and shall be carried out in agreement with, this rule.
