Job Description

Job Summary We are seeking a dynamic and organized Program Assistant to join our team and support the smooth operation of various programs and administrative functions. This role offers an exciting opportunity to contribute to impactful initiatives by managing day-to-day tasks, coordinating schedules, and providing exceptional C-suite support. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with the ability to handle multiple responsibilities efficiently. As a Program Assistant, you will play a vital role in ensuring program success through effective office management, data entry, and stakeholder engagement. We are deploying a new facility in FL and the role will be an extensive amount of sourcing related to construction, installation, and facility development. Previous experience in construction management of a major plus. The facility is a controlled facility. You will need the appropriate work authorization. Duties Provide comprehensive administrative support including calendar management, appointment scheduling, and meeting coordination. Manage facility deployment operations, greet visitors warmly, and handle multi-line phone systems with professionalism and courtesy. Assist with bookkeeping tasks such as invoicing, expense tracking, and basic financial record management. Support program activities by preparing reports, proofreading documents for accuracy, and managing correspondence. Handle office supplies inventory, coordinate repairs or maintenance needs, and ensure the office environment remains efficient and welcoming. Offer bilingual support to assist diverse stakeholders effectively and provide excellent customer service in both languages. Experience Prior office management or administrative experience is required, ideally within a nonprofit or community-based organization. Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Excellent phone etiquette skills with experience managing multi-line phone systems and providing customer support. Familiarity with clerical tasks such as filing, proofreading, data entry, and calendar management. Bilingual ability in English and another language is preferred to serve diverse community needs effectively. Pay:
