Employees Duties Help FV-E Duties :
Receives ors and callers. Ascertains the nure of the /call and directs the individual to the approprie office/team. Prepares various reports and composes and types routine correspondence such as letters and memorandums. Reviews outgoing correspondence for grammical and procedural accuracy. May serve as the time and tendance focal point for the office. Verifies time and tendance informion and reports discrepancies to manager. Ensures travel authorizions and other travel documents are prepared accurely and comply with regulory guidelines. Reviews office procurement requirements forsupplies, equipment, and services. Coordines and prepares approprie procurement requests utilizing various system applicions. Assists in a variety of administrive programs such as the government motor vehicle program, property accountability, office training program, and personnel program the direction of management.
FV-F Duties:
Assists Office Manager and Frontline Management Team, as well as the Administrive Officer, in day-to-day operions, and may act as a lead for other support staff to coordine multiple assignments for the Field Office. Performs back-up duties in the absence of the Administrive Officer. Work activities typically support multiple projects/programs and contribute to the objectives of the organizional unit. Applies experience and advanced knowledge to plan and perform administrive assignments for projects/programs. Has a broad understanding of how administrive assignments contribute to organizional activities. Responsible for compiling, tracking, and analyzing da; providing advanced computer assistance; scheduling meetings; preparing correspondence; providing written or oral explanion of organizion policies; and coordining the implemention of new office policies and systems. Utilizes a variety of software programs to accomplish assignments. Demonstres considerable independence in planning time, and coordines only as needed with the Office Manager, Frontline Management Team, and Administrive Officer to prioritize assignments and use assigned resources. Often helps others plan and identify resources to accomplish projects/programs/tasks. Contacts are typically internal and external. Internal contacts frequently involve the Office Manager, Management Team, and Administrive Officer, as well as internal Aviion Safety Inspectors and administrive personnel. Other contacts may frequently include Division Management and Functional Area Office personnel, Flight Standards Field Office Managers, and employees from more than one organizional unit and/or Line-of-Business to share informion, coordine efforts, and discuss assignments. External contacts are typically with customers and other parties on routine mters th rele to the project/program th is being supported. Established policies and procedures provide guidance for most assignments, but allow some discretion for the incumbent to select the most approprie approach, or to recommend new approaches. May provide recommendions to improve work processes. Resolves most problems and work issues without the assistance of the Office Manager, Frontline Management Team, or Administrive Officer. Identifies and informs Office Manager, Frontline Management Team, Administrive Officer, and/or other employees of problems/issues th require their tention and helps them develop and recommend solutions. Provides guidance to lower level administrive support staff for handling routine problems and issues. Utilizes the government travel system as necessary, and assures compliance with established procedures and cost accounting da. Work is reviewed periodically, typically through stus reports and completion, to ensure policy compliance and alignment with the requirements of projects and/or work activities. Planning and accomplishing basic and routine tasks in support of administrive programs; utilizing automed systems to track, reconcile and report da; compiling and analyzing da; preparing and managing documents and supporting the office in the areas of financial support, personnel mters, personal property, travel administrion and other office programs. You should include relevant examples of the specialized experience in your work history.
