Job Summary The IU Outdoor Adventures (IUOA) Program Assistant (PA), reporting to the Skill Development Coordinator, provides essential administrative and logistical support for programs including workshops, trainings, and adventure trips. This role is also critical in coordinating internal and external communication, ensuring the administrative team and student staff (Trip Leaders, Ambassadors) are aligned on all unit projects and events. Department Specific Responsibilities Assists with coordinating logistics for workshops and adventure trips, including setup and teardown of materials, managing registration and attendance, and preparing trip documentation and waivers. Supports participant communication and documentation, ensuring timely responses to inquiries, accurate collection of forms, and clear pre-trip instructions. Assists with the Ambassador Program, including scheduling support, tracking engagement metrics, and organizing materials for outreach and recruitment events. Assists with program records and reporting, maintaining documentation such as waivers, registration logs, feedback forms, and training records, and contributing to summary reports. Assists with maintaining and organizing program resources, including inventory of training materials, manuals, and outreach supplies. Coordinates internal and external program communication, including compiling and distributing weekly newsletters, responding to participant inquiries regarding registration, scheduling, waitlists, and general program information via email and phone. Participates in administrative team activities, attending regular meetings and contribute updates on programs and outreach efforts as assigned. Upholds relational service standards, serving as a role model in delivering exceptional service and ensuring a positive experience for participants and staff. Qualifications
EDUCATION
Required Currently enrolled as a student at Indiana University
WORK EXPERIENCE
Required Outdoor education experience such as outdoor trip leading, environmental education, experiential education or related experience
LICENSES AND CERTIFICATES
Preferred Outdoor Skills Certifications such as Leave No Trace, American Canoe Association, American Mountain Guide Association, National Outdoor Leadership School, Bike Instructor Certification Program, Wilderness Education Association, or certifications from other entities that address these skills or equivalent experience upon date of hire Wilderness First Aid First Responder OR American Red Cross First Aid/CPR Upon date of hire SKILLS Required Technical proficiency in 1 or more outdoor activity areas Exceptional organizational skills and meticulous attention to detail Proven ability to work independently, manage multiple deadlines, and prioritize tasks effectively Proficiency with Microsoft Office Suite (Word, Excel, Teams, Outlook) Preferred Experience supporting recreational or outdoor program logistics (e.g., trip planning, workshop coordination) Experience with marketing, outreach, or internal communications, especially using digital channels (e.g., mass email platforms, digital newsletters) Experience with university Learning Management Systems (e.g., Canvas) Working Conditions / Demands These positions require sitting and maintaining attention for long periods of time and frequently moving about the workspace. Positions require working both indoors and outdoors and ability to move objects up to 50 pounds with assistance. The person in this role must be able to perform the essential functions with or without an accommodation. This position will travel to off-site locations outdoors that will vary by trip. Early morning, evening and weekend shifts may be required. Work Location Bloomington, Indiana This is an in-person position Onsite work will take place at the following campus recreation facilities, depending on the department needs: Eigenmann Hall Outdoor Adventure Center Student Recreational Sports Center Bill Garrett Fieldhouse/School of Public Health Advertised Salary $18.55 per hour This positions is work-study eligible. Work Hours Minimum of 20 hours per week, not to exceed 29 hours per week across all campus positions. Flexible scheduling is available and may vary by position.
