Job Description
Hiring Range:
$24.78/hr to $30.96/hr. Pay rate commensurate with relevant experience.
Reporting to the Assistant Dean of Field Education, the Field Education Program Assistant provides support to the Field Education department in the areas of office management, ApEx Field Education database management, agencies recruitment and management, preparation and distribution of educational materials, and events management.
SSW student body consists of 650 MSW students. Field Education Department is comprised of the Assistant Dean, Field Education, six Assistant Directors, and Field Education Program Assistant.
Essential Functions include:
Office Management & Customer Service:
Maintain consistency and structure for Field Education operations - approximately 650 students in over 350 agency internships. Staff support for 7 FTEs, 30 adjunct faculty field advisors. Timely responsiveness to office visits, calls, emails and mail. Respond to students, agency contacts, faculty, advisors and staff requests for information or direction. Consistent presence, solid availability and professional presence. Organize the Field Education calendar. Maintain and update Field Education materials on multiple platforms - Google Drive, Canvas. Gatekeeper role with requests from other parties. Provide direction to two student employees in Field Education office.
ApEx Database Management:
Responsible for ApEx database management, specifically Agency information, Administration section and Student information and processes. Follow timetable for operations as outlined in ApEx for timely and organized distribution of information. Insure correct collection of data by Field staff and students.
Educational Materials:
Distribute, collect and track Student Performance Evaluations as part of Student Record. Yearly revision of Field Education Guide and curriculum information. Interface with library and IDES teams as needed throughout the year. Support Field Education team as new materials are developed across new platforms, ex. Canvas. Communicate and distribute Field Education materials to students, agency contacts, advisors and SSW administration & faculty.
Events Support:
Lead role in annual events for Field Education; booking, executing, debriefing. Electronic invitation and tracking. Events include:
3 Student Orientations, 1 Supervisor Orientation, 4-6 sections of Seminar in Field Instruction- 8 sessions each academic year, 8 monthly Advisor Meetings, various workshops, other school wide events - support role as needed.
Agency Recruitment & Maintenance:
Consistent presence, solid availability and professional presence. Responsiveness to calls, emails and mail. Track contacts from agency to build available placements, distributing them to staff for further action. Support improvement of marketing materials for distribution & on SSW website.

Requirements
Proficiency with databases and excellent computer skills required. Excellent written and oral communication skills required. Strong organizational skills, including attention to detail required. Must be able to work independently and as a member of a team in a fast paced environment. Bachelor's degree preferred.
