Job Description
Description We are looking for a skilled and organized Program Assistant to provide comprehensive administrative and program support within the Affordable Housing Programs department in Baltimore, Maryland. In this role, you will focus on ensuring efficient office operations, managing schedules, assisting with program processes, and delivering excellent customer service to stakeholders. This is a long-term contract position requiring a detail-oriented individual committed to supporting housing initiatives and maintaining compliance with Fair Housing Act standards.
Responsibilities:
- Deliver administrative support to program operations, including scheduling meetings and managing calendars.
- Coordinate travel arrangements and logistics for program staff and leadership.
- Prepare accurate and thorough correspondence, memos, agendas, and other essential documentation.
- Maintain organized electronic and physical filing systems to ensure compliance with records retention policies.
- Assist in processing applications and managing documentation for housing initiatives.
- Track work orders, case files, invoices, and unit status updates for program efficiency.
- Respond promptly and courteously to inquiries from residents, property owners, and partner agencies.
- Compile reports, spreadsheets, and program metrics to support data-driven decision-making.
- Facilitate community engagement activities and coordinate meeting spaces and presentations.
- Support procurement and contract administration processes as required. Requirements
- Proven experience in administrative or office support roles, preferably within government or housing agencies.
- Skilled in calendar management and scheduling appointments.
- Expertise in coordinating travel arrangements, including transportation and accommodations.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Strong organizational abilities with a focus on detail and deadline management.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion and professionalism.
- Familiarity with affordable housing programs or human services is highly preferred.
