Student Support Services Administrative Assistant Position Summary:
The Administrative Assistant provides essential administrative support to the leadership and staff within Oklahoma City Public Schools. This role focuses on ensuring the smooth day-to-day operation of the office through organizational support, scheduling, communication, and various clerical tasks. The Administrative Assistant helps maintain a professional and efficient work environment while ensuring that deadlines are met and tasks are completed in a timely manner. Essential Duties:
Great Systems (Operational Support & Accountability): Assist with calendar management, scheduling meetings, and arranging travel for district staff. Answer and direct phone calls, emails, and other inquiries in a professional and timely manner. Help prepare materials and documents for meetings, events, and presentations. Maintain and organize office supplies and equipment, ensuring availability and functionality. Handle basic correspondence, memos, and reports as requested. Manage office logistics, ensuring meeting spaces are prepared for scheduled events. Perform additional tasks as assigned to support the operation and initiatives of the assigned department. Great People (Talent & Relationship Management): Serve as the point of contact for internal and external inquiries, ensuring prompt communication and follow-up. Assist in building positive relationships with staff, stakeholders, and external partners. Provide general support to team members, contributing to the smooth functioning of the office. Coordinate communication flow between district leadership and staff, ensuring timely responses. Great Culture (Leadership & Engagement): Uphold professionalism and represent the district positively in all interactions. Foster a welcoming environment within the office, promoting teamwork and collaboration. Support staff with administrative tasks that contribute to the overall district culture and success. Help coordinate district events, including logistics, guest coordination, and event materials. Great Teaching & Learning (Professional Development & Support): Assist in tracking and maintaining professional development activities for district staff. Compile relevant data, reports, and information to support leadership decision-making. Provide logistical support for leadership training sessions, workshops, and conferences. Assist with research efforts and provide administrative support for various educational initiatives. Minimum Qualifications (Knowledge, Skills, and/or Abilities): High school diploma or equivalent Minimum of 3 years of experience in an administrative support role, preferably in an educational or public sector environment. Strong organizational skills with the ability to manage multiple priorities and meet deadlines. Exceptional written and verbal communication skills. High level of discretion, professionalism, and ability to maintain confidentiality. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant administrative software. Ability to work independently and collaboratively within a fast-paced environment. Strong problem-solving skills and adaptability to evolving priorities. Preferred Qualifications (Knowledge, Skills, and/or Abilities): Associate's degree in business administration, communications, or related field Experience supporting senior executives in a large organization. Familiarity with school district operations, policies, and procedures. Knowledge of project management principles and tools. Physical/Mental Requirements:
Must have adequate manual dexterity to write legibly and perform required duties on the computer. Must have adequate visual acuity to read, interpret, and transcribe written material. Requires normal range of hearing and clear speaking abilities to interact appropriately with others in person and on the telephone. Requires some stooping, bending, stretching, and occasional lifting not to exceed 25 pounds. Work may require occasional extended hours, including evenings and weekends, to support district initiatives. Work Environment:
