Department USD-Student Services Physical Location of Position (City) Vermillion Posting Text The office of the Dean of Students is seeking a highly qualified individual to manage administrative and customer service operations in a busy, multi-function environment. The successful candidate will be responsible to independently assess customer needs and determine appropriate courses of action to resolve customer inquiries or concerns. Customers include students, parents, USD staff, and the general public. The position reviews and responds to incoming department emails, answers the telephone, and greets walk-in customers in order to assess the customer needs; and takes appropriate courses of action based on the nature of the inquiry/communication. The successful candidate will have the ability to assist in the managing of a busy calendar and to anticipate the information needs in preparation for specific meetings/appointments. The position manages assigned projects, prepares a variety of financial documents, and compiles information into reports. The position also provides training and expertise to a variety of constituents on a wide variety of department, campus and state administrative processes and procedures.Position requires:
Excellent communication skills, on oral and written form The ability to analyze situations and determine appropriate courses of action The ability to assess sensitive information and incidents and determine appropriate courses of action The ability to independently manage assigned tasks and projects to provide effective outcomes The ability to collect information and compile into reports Supervision of one full time staff and several student workers The ability to effectively manage a busy executive calendar The knowledge of basic accounting principles, and the ability to maintain accurate records Knowledge of modern office software, equipment, and procedures The ability to manage social media. The ability to assess and design administrative processes to effectively comply with campus, state and federal reporting and compliance regulations The ability "defuse" unhappy customers, evaluate their concerns, and provide an effective response or referral The ability to establish and maintain effective working relationships with diverse people Experience in higher education and/or student life is a plus.
