Secretary (Roads, Bridges & Engineering) Shelby County Government - 3.6 Memphis, TN Job Details Full-time 16 hours ago Qualifications Typing Full Job Description Position Summary Works under general supervision to support the Administrator and management team within the Department for a variety of administrative clerical functions.
Pay Grade:
41 Salary Commensurate with Experience and Education Minimum Qualifications Three (3) years of experience in appropriate clerical, secretarial or office administration experience; AND High School Diploma or possess GED; OR An equivalent combination of related education and/or experience.
PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED.
Duties and Responsibilities Provides high level administrative support to the Administrator and coordinates with the Managers in the Road and Bridges Department for various administrative functions. Serves as the first point of contact to welcome visitors into the office and answers constituents' calls for the Department in a professional and courteous manner, providing accurate information and directing calls to the appropriate personnel. Creates work orders in the Department's database for services handled by the Department and assigns to the appropriate personnel and section. Serves as the Department's liaison to coordinate with the Mayor's Action Center to clear complaints and work orders that are the responsibility of the Department. Maintains and updates the Department Staff Directory and Emergency Call List as well as the Management Duty Roster for on-call services outside of normal business hours. Drafts various correspondence, attends meetings, takes notes and transcribes minutes if needed, and must handle sensitive and confidential information. Receives deliveries and distributes correspondence and mail timely. Manages multiple calendars and meeting logistics for the Administrator and for use of the conference and training rooms in the Department. Performs other related duties as required or directed. KSAs Knowledge of grammar, spelling, punctuation and format. Excellent written and verbal communication skills; effective interpersonal skills and multi-tasking ability. Proficient in Microsoft Office (Excel, Access, Word, Outlook, PowerPoint) and in use of other database software systems to track complaints and work orders. Operating knowledge of standard office equipment such as computers, phones, headset, printer, fax, etc. Ability to solve problems and exercise good judgment. Must be able to communicate with the public, co-workers and other departments. Ability to adjust to changing priorities, deadlines and evolving office needs. Special Requirements Must be able to lift a minimum of 25 pounds. Must be able to use hands for typing, opening. This means exemption from this policy is in effect for the following departments and positions: (1) Sheriff Deputy Patrol Officers, Deputy Jailers and Dispatchers, employed by the Sheriff Department, (2) Correction Officers employed by the Division of Corrections, (3) Firefighters, Paramedics and Dispatchers employed by the Shelby County Fire Department. The residency exemption for public safety/civil service employees does not include Appointed positions with Sheriff's Office, Division of Corrections or the Fire Department.
