Position SummaryThe Engineering Dispatch Manager is responsible for overseeing the daily operations of the Engineering Dispatch function to ensure efficient coordination of maintenance requests, work orders, preventive maintenance scheduling, and communication between guests, departments, and the Engineering team. This role ensures timely response to service calls, proper assignment of tasks, accurate recordkeeping, and exceptional internal and external customer service while supporting the overall operational excellence of Sandestin Golf & Beach Resort.
Essential Duties and ResponsibilitiesManage the daily dispatch operations for the Engineering Department across resort properties, including hotel, residential, club, and recreational facilitiesSupervise and support Engineering Dispatch Coordinators and administrative staffReceive, prioritize, assign, and track all engineering service requests and work orders through the resorts maintenance management systemEnsure urgent guest requests and emergency maintenance issues are handled promptly and efficientlyCoordinate communication between engineering technicians, leadership teams, front office, housekeeping, food & beverage, security, and other departmentsMonitor completion of preventive maintenance schedules and ensure work orders are closed accurately and timelyReview dispatch logs, labor reports, and maintenance tracking systems for accuracy and efficiencyMaintain inventory coordination for parts requests, vendor service scheduling, and contractor access when neededAssist with departmental budgeting support, invoice processing, purchasing documentation, and payroll administrationPrepare daily, weekly, and monthly operational reports for Engineering leadershipEnsure compliance with OSHA standards, safety policies, resort procedures, and emergency protocolsSupport capital project coordination and engineering administrative functions as assignedAssist in developing departmental SOPs and improving workflow efficiencyTrain team members on dispatch procedures, systems, and service standardsMaintain professionalism and confidentiality in all communications and documentationPerform additional duties as assigned by the Director of EngineeringQualificationsMinimum 35 years of experience in engineering operations, facilities management, hotel maintenance dispatch, or related fieldPrevious supervisory or management experience preferredHospitality, resort, or multi-property experience strongly preferredStrong knowledge of work order systems, dispatch software, and maintenance tracking platformsExcellent organizational, communication, and problem-solving skillsStrong computer proficiency including Microsoft Office, Excel, Outlook, and maintenance management softwareAbility to prioritize multiple tasks in a fast-paced resort environmentStrong leadership skills with a focus on team development and service excellenceAbility to maintain discretion and confidentialityFlexible schedule including weekends, holidays, and emergency response availability as neededPhysical RequirementsAbility to sit, stand, and walk for extended periods throughout the workdayAbility to move frequently between office locations, engineering shops, guest areas, and resort facilitiesAbility to lift, carry, push, and pull up to 25 pounds regularly and up to 50 pounds occasionally with assistanceAbility to bend, stoop, kneel, crouch, climb stairs, and reach overhead when inspecting work areas or assisting with operational needsAbility to operate standard office equipment including computers, printers, phones, radios, and tablets for extended periodsAbility to communicate clearly and effectively in person, by phone, radio, and written communicationAbility to visually inspect reports, maintenance logs, work orders, and operational areas with attention to detailAbility to work indoors and outdoors in varying weather conditions including heat, humidity, rain, and seasonal temperaturesAbility to respond quickly to emergencies and urgent operational situations across the resortAbility to work in environments with moderate noise levels including mechanical rooms, workshops, and active guest areasAbility to tolerate exposure to dust, cleaning chemicals, maintenance materials, and typical engineering work environmentsAbility to work flexible hours including early mornings, evenings, weekends, holidays, and on-call situations when requiredEOE M/D/F/V
