Company Overview Waterline Industries, a multi-award-winning, employee-owned general contractor located in Seabrook, NH specializing in the construction and rehabilitation of water and wastewater treatment facilities in the New England area, is currently accepting resumes for an Estimating & Procurement Assistant .
Job Description:
The Estimating & Procurement Assistant provides administrative and operational support to the Estimating Department and the Vice President of Business Development. This entry-level role plays a key part in organizing bid efforts, coordinating communication with subcontractors and suppliers, and supporting the preparation of proposals and prequalification packages. This position offers a strong opportunity for growth, with exposure to the estimating process and potential for advancement within the Estimating Department.
Key Responsibilities:
1. Bid & RFQ Coordination (Primary Focus) Issue Requests for Quotes (RFQs) to subcontractors and suppliers for active bids Bid package preparation Maintain accurate RFQ logs and organized digital filing systems Distribute plans, specifications, and addenda to subcontractors and vendors Track incoming quotes and assist estimators with follow-ups as needed 2. Document & Bid Support Assist in the preparation of bid packages and proposal submissions Support the development of prequalification packages Obtain and compile project references for proposals Print and organize construction documents for internal distribution Update backup documentation as needed, i.e. adding new project references, tracking any changes Learning and understanding project specifications and drawings to be able to conform when projects are awarded Lead weekly bid meeting as needed 3. Project Setup & Lead Tracking Assist in obtaining plans and specifications for prospective project leads Set up and organize project folders in company systems Create calendar invites, update bid schedule and coordinate bid deliveries. Create and maintain Dropbox (or equivalent) folders for external distribution Assist with setup of estimate templates, Winest Software 4. Communication & Coordination Submit RFIs and bid questions Support general coordination efforts across the Estimating Team 5. Post-Bid & Project Support Assist with project setup activities for awarded contracts Maintaining project setup checklists Supporting creation of project folders, budgets, and cost codes Assist with procurement support, including drafting purchase order requests Support internal estimate closeout and organization 6. General Office Support Process incoming mail and process outgoing packages - prequalification packages, bids, project correspondence Special projects as needed
Qualifications:
Preferably a bachelor's degree in Construction Management, Civil Engineering, or a related field.
