Job Description

The Event and Operations Manager provides high‑level administrative, operational, and customer‑facing support to the Executive Director and the PDP team. This role requires exceptional organizational discipline, persuasive communication skills, and a proactive, team‑oriented mindset. The ideal candidate is professionally hungry, solution-driven, and committed to seeing projects through to completion. Thrive in a mission‑focused environment where teamwork, accuracy, and service to dairy producers are paramount. Key Responsibilities Executive & Logistical Support Manage complex, end‑to‑end travel logistics, including booking flights, hotel accommodations, ground transportation, and multi‑person schedules. Coordinate calendars for the Executive Director and entire professional staff, aligning meetings, calls, and resources with precision. Draft, edit, and send emails on behalf of the Executive Director with professionalism, confidentiality, and sound judgment. Maintain organized office systems, including inventory, supply ordering, print materials, and mail coordination while maintaining an organized office environment where materials are easily sourced, inventoried and restocked. Demonstrate a strong can‑do attitude, working with the team, for the team, and staying engaged until projects are completed. Member Relations & Customer Service Deliver exceptional customer service to members and non‑members, ensuring timely follow‑up and accurate information. Conduct outbound recruitment and program‑promotion calls, confidently communicating PDP's value and offerings. Capture detailed, accurate phone messages and ask thoughtful, open‑ended questions to gather essential information. Maintain meticulous data integrity, ensuring all member and prospect information is complete and accurate. Build rapport quickly and professionally, representing PDP with warmth, credibility, and respect for dairy producers. Event & Vendor Coordination Negotiate hotel and vendor contracts, securing competitive pricing and favorable terms for meetings and events. Support event logistics, including registrations, attendee communications, travel blocks, and on‑site coordination. Work with print companies and mailing vendors to ensure timely, cost‑effective production and distribution. Professional Skills & Attributes Demonstrates advanced proficiency in Microsoft Outlook, PowerPoint, Excel, and related office technologies. Thrives in a fast‑paced, multi‑stakeholder environment with competing priorities. Exhibits strong active‑listening skills, professionalism and the ability to ask probing questions. Driven, team‑oriented and motivated by the collective success of the organization. Demonstrates a strong can‑do attitude and collaborates with the team to meet deadlines, support shared goals, and ensure projects are completed accurately and on time. Shows reliability, follow‑through, and flexibility during peak periods or time‑sensitive initiatives.
