Job Overview We are seeking a dynamic and energetic Event Coordinator to lead the planning, organization, and execution of a wide variety of community events. This role offers an exciting opportunity to bring memorable experiences to life by managing all aspects of event logistics, vendor negotiations, and client relationships. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, creativity, and a passion for delivering outstanding customer service. As an Event Coordinator, you will be instrumental in ensuring each event runs smoothly from concept to completion, creating lasting impressions for clients and guests alike. Duties Collaborate with the client to understand her vision, needs, and budget for each event, providing expert guidance throughout the planning process. Develop comprehensive event plans, including timelines, layouts, vendor selections, and logistical arrangements. Negotiate contracts with venues, caterers, entertainment providers, and other vendors to secure the best terms and services. Coordinate all event details such as catering, décor, entertainment, transportation, and accommodations to ensure seamless execution. Manage budgets meticulously, tracking expenses and identifying opportunities for upselling additional services or upgrades. Oversee on-site event setup and breakdown, ensuring all elements are executed according to plan while maintaining high standards of guest experience. Provide exceptional guest services during events by addressing inquiries promptly and resolving any issues efficiently. Implement effective marketing strategies to promote events and maximize attendance through various channels including social media and direct outreach. Conduct post-event evaluations to gather feedback for continuous improvement and maintain strong client relationships for future collaborations. Skills Strong negotiation skills to secure favorable contracts and vendor agreements. Proven experience in event marketing and event planning with a focus on creating engaging experiences. Excellent customer service skills with the ability to handle diverse guest needs professionally. Effective time management skills to coordinate multiple events simultaneously under tight deadlines. Expertise in events management software and budgeting tools for efficient planning and financial oversight. Knowledge of banquet operations, catering logistics, hotel or restaurant industry standards, and hospitality best practices. Ability to communicate clearly with clients, vendors, team members, and stakeholders at all levels. Organizational skills that ensure detailed attention to every aspect of event execution from start to finish. Experience with fundraising events or large-scale gatherings is a plus.
