This position is responsible for coordinating logistics, managing communications, tracking materials, and supporting project timelines to ensure all deliverables are completed on schedule. This role requires strong organizational skills, attention to detail, and the ability to collaborate effectively in a fast-paced environment. The coordinator is essential in keeping internal teams aligned and ensuring a high-quality experience for all event stakeholders. Key Responsibilities Track inventory, shipping, and movement of event materials and supplies Coordinate with exhibitors, vendors, and partners to ensure timely delivery, setup, and execution Monitor event and meeting timelines; proactively identify and address potential delays or issues Draft and distribute event-related communications, updates, and reminders to internal and external stakeholders Prepare detailed internal meeting notes and ensure timely distribution to relevant parties Support communication and coordination across internal teams and external partners Assist with onsite event logistics and execution as needed Provide general administrative and operational support to the Meetings & Events team Triage events and exhibits mailboxes Other duties as assigned Qualifications Bachelor's degree or equivalent experience in event management, hospitality, communications, or a related field preferred 1-3 years of experience in event coordination, meetings management, or administrative support preferred Excellent written and verbal communication skills Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and/or project management tools Demonstrated ability to manage multiple priorities and meet deadlines Skills & Competencies Strong organizational and time management skills High attention to detail and accuracy Proactive problem-solving mindset Ability to work both independently and collaboratively Strong interpersonal and relationship management skills Work Environment Fast-paced, team-oriented environment May require occasional travel and onsite event support Ability to manage multiple projects simultaneously under tight deadlines
Additional Information:
This position is based out of the Northfield, IL office. Candidates must reside within 75-miles of Northfield and meet in office requirements.
Salary:
