This is a premier, senior-level executive support role designed for a seasoned administrative professional who excels in a fast-paced, multi-entity corporate environment. In this capacity, you will serve as the CFO's trusted operational partner, handling high-level administrative architecture, facilitating key financial calendar workflows, and managing sensitive corporate communications across a diverse portfolio of business holdings.
Executive Profile:
The Trusted C-Suite Partner The ideal candidate is an exemplary gatekeeper and a polished corporate diplomat. You possess an intuitive understanding of executive-level priorities, an unyielding commitment to absolute discretion, and a structured approach to keeping a busy corporate finance office organized, clear, and executing at the highest level.
Key Responsibilities Executive Governance & Calendar Management:
Proactively manage the CFO's complex, multi-entity calendar, aligning meetings, travel, and daily agendas with overarching corporate priorities.
C-Suite Liaison & Communication:
Serve as a highly professional proxy and primary point of contact for internal and external stakeholders, including senior leadership, board members, corporate legal counsel, banking institutions, and auditors.
Meeting Architecture & Board Support:
Coordinate high-stakes meetings and executive sessions. Responsibilities include preparing formal agendas, compiling briefing materials, taking comprehensive meeting minutes, and tracking strategic follow-up items to ensure seamless execution.
Corporate Compliance & Tracking:
Manage the administrative tracking and coordination of regulatory filings, legal documentation, and essential corporate renewals across multiple business entities.
Financial Administration:
Oversee office operations and assist the CFO with routine administrative financial workflows, including maintaining structured executive trackers, coordinating schedules, and managing monthly expense reporting.
Document Management & Tech Efficiency:
Utilize the Microsoft 365 ecosystem to maintain organized, confidential digital filing systems. Maintain an active interest in leveraging standard productivity tools and executive assistants' modern workflows to optimize daily operations.
Profile Requirements Proven C-Suite Experience:
A minimum of several years of dedicated experience supporting C-suite executives-specifically within a corporate finance, accounting, or legal environment-is highly preferred.
Multi-Entity Sophistication:
Prior experience working within a multi-entity or multi-location corporate structure, managing competing priorities across separate business units.
Strong Office Technology Skills:
Proficiency within the Microsoft 365 ecosystem, including strong foundational skills in Excel (managing trackers, formulas, and data organization) to confidently assist with administrative executive reporting.
Impeccable Professionalism:
Exceptional written and verbal communication skills, a polished executive presence, and a proven track record of handling highly confidential corporate data with absolute integrity.
