Vacancy Number S02828 Position Title Executive Assistant Working Title Executive Assistant Competency Level Contributing Home Department Center for Marine Science - 30600 Primary Purpose of Organizational Unit The University of North Carolina Wilmington's Center for Marine Science ( CMS ) is recognized both nationally and internationally for conducting research that contributes to the understanding of environmental processes and problems. Through research, education and outreach, the Center strives to increase knowledge and cultivate public awareness about coastal and marine sciences. This includes a variety of fields such as physical oceanography; marine and coastal biology; marine, atmospheric and natural products chemistry; marine geology; aquaculture; and environmental sciences. Currently there are more than 100 active research programs supported by CMS and over 140 scientists, staff and students broadly associated with the unit. The teaching and research facility located on the Intracoastal Waterway in southeastern North Carolina features state of the art core facilities in spectrometry and spectroscopy, light stable isotopes, biotechnology, aquaculture, DNA and water quality analysis as well as running seawater systems, a coastal workboat fleet and a wide range of oceanographic equipment that are available to all CMS researchers. CMS supports educational programs related to marine science, including the MS Marine Science degree as well as courses and students from various marine-science related academic departments. It also supports several outreach entities, including NC Sea Grant, the NC National Estuarine Research Reserve, and Marine Quest, among others. Location of Workplace CMS Myrtle Grove Brief Summary of Work for this Position The position provides primary support for the Executive Director for the Center for Marine Science including administrative and programmatic assistance.
Responsibilities include:
Managing the director's calendar, including scheduling appointments and meetings Providing correspondence on behalf of the Executive Director to faculty/staff, high level university administration/staff, external stakeholders/partners Coordinating events in support of the Executive Director Process Executive Director's travel authorizations and reimbursements Coordinate CMS leadership team meetings, and keep minutes Plan/schedule fall and spring CMS faculty/staff meetings, and State of CMS meeting Support Marine Science Council Coordinate CMS prospective student tours Enter and track work orders Maintain/update CMS phone tree Facilitate room reservations Maintain front office supplies Support Executive Director in research activities Serve as back-up to Administrative Associate Special projects, as assigned Minimum Education and Experience Requirements High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
