Job Description

This position is responsible for various administrative support functions tailored to specific duties within the Accounting Department. This individual will be proficient in multiple roles to ensure backup coverage when needed. The main responsibility of this role is to oversee the processing of accounts payable transactions and ensure accurate vendor payments for a very fast paced office.
POSITION REQUIREMENTS
Must follow all safety and environmental protocols as instructed. The role involves examining and confirming the validity of all internal Accounts Payable invoices. Each invoice must be matched with the respective documentation, such as purchase orders and shipping labels, to confirm all approvals are in place. Data entry into the Accounts Payable construction-specific software must be accurate. The candidate will be tasked with reconciling various reports regularly to ensure the correctness of entered data. Preparation of both monthly and quarterly financial reports is essential. This role will provide support to other accounting positions as needed, fostering teamwork. Other miscellaneous support tasks and project assistance will also form part of the role's responsibilities. Relationships Building relationships with other Accounting staff Coordinating with Purchasing, Operations, Field Personnel, Shipping/Receiving, and HR Departments Interacting with Vendors, Contractors, and Suppliers
EDUCATIONAL REQUIREMENTS
An Associate's degree or relevant experience in Business or Accounting is advantageous. A High School Diploma or equivalent is required.
REQUIRED QUALIFICATIONS/SKILLS
Strong computer literacy, especially in word processing and spreadsheet applications. Excellent organizational skills with attention to detail. Able to handle multiple tasks simultaneously and effectively manage time. Strong written and verbal communication skills are essential. Ability to work well in a team environment. Meticulous attention to detail is crucial for success in this role.
PHYSICAL DEMANDS
Jobholders must be able to maintain a stationary position, operate a computer, file documents, and communicate effectively both on the phone and in person. The physical demands descried must be met to successfully perform the essential functions of this job.
WORK ENVIRONMENT
Work will be conducted in an open-office environment, interacting with fellow associates.
