FACILITIES OPERATIONS COORDINATOR

$30.00 - $35.00 Position Summary We are seeking a highly organized and proactive Work Order Coordinator to oversee the intake, scheduling, tracking, and completion of maintenance and service requests across a portfolio of residential and/or commercial properties. This role serves as the communication hub between tenants, property managers, field technicians, vendors, and internal departments to ensure work orders are handled efficiently, professionally, and within service-level expectations. The ideal candidate is detail-oriented, resourceful, capable of handling a high volume of requests, and thrives in a fast-paced operations environment. Key Responsibilities Work Order Management Receive, review, prioritize, and dispatch incoming maintenance and service requests Coordinate scheduling with field technicians, vendors, and subcontractors Ensure all work orders are accurately entered, updated, and closed in the property management or work order system Monitor open work orders daily to ensure timely completion and follow-up Escalate urgent or unresolved maintenance issues appropriately Communication & Coordination Serve as the primary point of contact for tenants, clients, vendors, and technicians regarding work order status Provide timely updates and maintain professional communication throughout the repair process Coordinate access scheduling with tenants and vendors when needed Follow up to confirm completion and customer satisfaction Operational Support Assist with vendor coordination, invoice tracking, and documentation collection Maintain organized records of maintenance activity, vendor performance, and recurring issues Support preventative maintenance scheduling and recurring service programs Assist management with reporting, KPI tracking, and workflow improvements Identify inefficiencies and recommend process improvements to improve turnaround times Administrative Duties Maintain accurate notes, photos, and documentation within company systems Assist with permit tracking, compliance documentation, and maintenance records when applicable Support project managers and operations leadership with administrative coordination tasks Qualifications 2+ years of experience in maintenance coordination, property management, dispatching, construction administration, or similar operational roles preferred Strong organizational and multitasking abilities Excellent verbal and written communication skills Ability to manage high work volumes while maintaining attention to detail Strong problem-solving and prioritization skills Proficient with Microsoft Office, Google Workspace, and work order/property management software Experience with systems such as AppFolio, Buildium, Yardi, Property Meld, Monday.com, ServiceTitan, or similar platforms is a plus Preferred Traits Resourceful and self-motivated Able to work independently with minimal supervision Calm under pressure and capable of handling difficult situations professionally Strong sense of urgency and accountability Team-oriented with a customer-service mindset Compensation & Benefits Competitive hourly wage or salary based on experience Health benefits (if applicable) Paid time off and holidays Career growth opportunities within operations and project management AGM Real Estate Group, LLC is an equal opportunity employer and values diversity in the workplace.
