Summary:
The Facilities Coordinator will be a key person for maintaining the overall condition, functionality, and appearance of our corporate headquarters and adjacent campus areas. This role ensures the facility remains in "like-new" condition by coordinating minor repairs and vendor activity and identifying when issues should be addressed through building contractor warranties versus standard maintenance. The ideal candidate is proactive, detail‑oriented, and committed to maintaining a clean, safe, and efficient work environment. This is a part-time job, averaging 20-25 hours per week between 7 a.m. and 6 p.m. (flexibility may be necessary.) The typical workweek is Monday-Friday, occasional weekend work, if needed.Essential Duties:
Be a welcoming, knowledgeable, and responsive ambassador to all employees and guests regarding any questions or issues related to our facilities. Administer and monitor the facilities ticketing system, coordinating responses and providing regular status reports to management. Monitor overall building condition and proactively identify maintenance or repair needs to preserve "new building" standards, escalating issues as appropriate. Coordinate and oversee routine building maintenance activities, including minor repairs related to walls, doors, locks, fixtures, flooring, lighting, plumbing, and basic HVAC issues, ensuring timely completion by appropriate resources. Assess reported facility issues to determine potential warranty coverage and coordinate service requests with contractors or vendors when applicable. Manage and coordinate vendor relationships, including scheduling service visits, confirming the scope of work, and verifying completion in alignment with safety and quality expectations. Oversee and validate the quality of work performed by contractors and the suitability of materials and supplies used. Develop, maintain, and coordinate execution of a preventative maintenance schedule with internal teams and external service providers. Track and maintain documentation related to work orders, inspections, vendor activity, and warranty-related services for accuracy and compliance. Conduct regular facility walkthroughs to identify wear-and-tear, safety concerns, or improvement opportunities, and coordinate corrective actions. Coordinate facility support for office operations teams during moves, furniture reconfigurations, workstation setups, and minor equipment installations. Oversee coordination of exterior maintenance to ensure grounds, parking areas, and common spaces remain orderly, safe, and hazard-free. Foster collaborative relationships with service partners, vendors, and internal departments to ensure efficient, well-coordinated facility operations. Follow the Group Code of Conduct and Group Compliance policies. Follow Compliance requirements per "KNA-SOP-1705
Compliance Roles and Responsibilities." Perform all other related duties as assigned. Education/Experience High School Diploma or equivalent required. 5+ years of experience in facilities maintenance, building operations, or similar environments. Experience in a large corporate office or meeting/convention center environment is highly desirable. Demonstrated experience working with contractors and engineers on basic electrical, plumbing, mechanical, and structural repair tasks. Comfortable and articulate while interacting with vendors, contractors, and employees at all levels. Ability to read simple blueprints or equipment manuals, preferred. Fluent in English, bilingual in Spanish is a plus.
