Job Description

SUMMARY OF POSITION
The Facilities & Office Services Sr. Specialist will lead the transition from our temporary offices in Mayfield Village to our 43,000 sq ft Comprehensive Imaging Resource Center (CIRC) facility located on the Cleveland Clinic Campus. This role will manage professional services for facility maintenance, equipment installation, and coordination with various departments to ensure design changes, equipment specifications/substitutions, purchasing, and accounting procedures align with business objectives. Responsible for the safety of the facilities, including a wide range of building operations and repairs.
RESPONSIBILITIES
Facilities Management Manage all facilities-related issues, budgets, and company property matters, including security, property damage, and environmental issues for
CHCU CIRC
facility and temporary offices. Serve as the single point of contact for gathering or disseminating information concerning facilities-related issues. Lead large-scale projects such as renovations, organization-sponsored events and disaster recovery. Manage security companies to ensure all systems are functioning properly; conduct monthly security system tests. Oversee installation of building equipment. Serve as the primary liaison for external vendors and service providers, ensuring timely and cost effective solutions. Ensure building compliance with all codes and regulations. Operate, monitor, and maintain utilities including mechanical, electrical, plumbing, HVAC, and waste management systems. Responsible for interior and exterior maintenance of the building. Troubleshoot building, grounds, facility equipment, and safety systems. Plan and execute facility improvements as needed. Perform preventive maintenance and repairs using trade skills (e.g., mechanical, plumbing, carpentry, roofing). Develop and implement policies and procedures that ensure the optimal functioning of buildings, grounds, and associated equipment. Maintain records of completed maintenance and repair work. Office Services Oversee general administrative operations and vendor management, including office supply management, inventory, document control, and coordination of shared services. Manage procurement systems for CHCU, ensuring alignment with budget and operational needs. Support onboarding and offboarding processes for employees, including workspace setup and access provisioning. Coordinate internal communications related to facility updates, policy changes, and organizational announcements. Liaise with HR, IT, and Finance to ensure smooth cross-functional operations and compliance with internal procedures. Organize and support company-wide events, meetings, and visitor logistics. Maintain inventory of office assets and equipment; ensure timely maintenance and replacement. Monitor and support workplace safety programs and employee wellness initiatives. Manager corporate third party memberships. Assist with travel arrangements, courier services, receiving, shipments and other logistical needs as required. Emergency Preparedness Serve as emergency response coordinator; schedule team training and evacuation drills, and maintain appropriate records. Lead evacuations and emergency safety. Other Duties Perform other duties as assigned to support organizational goals and operational continuity.
QUALIFICATIONS
Education Related Bachelor's degree in Business / Building / Property Maintenance 5 + years experience in building / property management Required Capabilities Strong work ethic and positive, respectful attitude is required. Ability to communicate complex ideas clearly to drive alignment, engagement, and trust across stakeholders. Proven trade skills in mechanical, plumbing, carpentry, roofing, etc. Solid mechanical aptitude and the ability to work on facility equipment. Solid vendor management skills. Solid planning and coordination skills of office space and maintenance. Proven knowledge and experience reading mechanical and facility drawings. Proven organizational skills with a track record of managing priorities and resources with reliable follow-through. Team oriented, self-motivated, safety and quality conscious; requiring minimal supervision. Strong building lifecycle management experience. Microsoft Office Suite expert Work Location This position is based in CHCU's home office in Mayfield Village (Cleveland), Ohio. This position will move to our permanent HQ on Cedar and 105th in Opportunity Corridor, Downtown Cleveland in 2026.
