Job Description
JOB SUMMARY
The Facilities Manager is responsible for overseeing a large maintenance team composed of multiple building superintendents, certified skilled technicians, turn technicians, and housekeepers. The Facilities Manager oversees all maintenance related operations to include timely/accurate completion of service requests/make readies, implementation of preventative maintenance programs, capital improvement projects, projection of future improvements, budgetary expenditures, inventory control of supplies, efficiency of the maintenance team and vendor management. The Facilities Manager works hand in hand with the Director of Site Operations regarding oversight of all operational related activities/initiatives in a proactive verse reactive approach. The Facilities Manager is responsible to oversee/implement safety practices to include efficiency of snow removal, SDS Compliance, and Osha standards.Essential Duties and Responsibilities:
- Must be proficient in heating and air-conditioning, plumbing, appliance repair, and many other areas of repair to lead/train/develop team, assure budget compliance replacement, and grow staff knowledge to cut back on third party vendors services.
- Must be aware of the condition of apartments and the overall property and immediately initiate action to correct conditions.
- Problem-solving mindset, excellent organization skills, and attention to detail.
- Proficiency in safety protocols, compliance standards, and risk management practices.
- Train, Develop manage a large team over two communities
- Strong customer service orientation.
- Represent oneself and the company in a professional manner at all times, on and off the clock.
- Must be able to use all types of hand and power tools, freon recovery machinery, air conditioning gauges and vacuum pumps.
- Must have the ability to reason and use good judgment.
- Inspects and coordinates with the maintenance coordinator all make-ready repairs and services.
- Ensures that storage areas remain locked when not in us in compliance with standard operating procedures.
- Develop and implement standard operating procedure for efficiency, customer service of the maintenance team.
- Manage and assist team to assure service requests acknowledged within 24 hours, unless the request requires extraordinary parts or labor.
- Must have the ability to select appropriate materials for the property as needed in having a full understanding of cost per goods to assure competitive pricing is always achieved .
- Performs inspection of exterior lighting of the property on a schedule determined by the Director of Site Operations.
- Responsible for maintaining a clean and organized work environment in the maintenance shop.
Customer Service Responsibilities:
- Communicates clearly to peers, teams and ownership.
- Responds to resident service requests and concerns in a timely, professional manner.
- Reads and/or listens to resident requests/complaints in a calm, respectful, and open manner.
- Maintains a complete clean and neat uniform
- Works efficiently with the maintenance coordinator to assure Distribution of notices and communications to residents are timely
- Demonstrates customer service skills by treating residents, coworkers, supervisors, and vendors with respect, answering questions in a calm and open manner from coworkers and residents.
Leadership Responsibilities:
- Maintain a preventative maintenance program that minimizes emergency repairs and service repairs.
- Work with Director of Site Operations to create and implement a schedule to maintain the cleanliness of the grounds, breezeways, and other common areas.
- Assists Director of Site Operations with recruiting, hiring, and training of maintenance staff.
- Schedules maintenance team to ensure appropriate coverage is available to meet property needs, while minimizing overtime hours.
- Track performance of maintenance staff including but not limited to; corrective action, annual reviews, recommendations for promotion and corrective action as necessary.
- Inspects work performed by other members of the maintenance team to assess effectiveness of current procedures and levels of work performance.
- Periodically inspects work performed by vendors, contractors, and other service providers to verify the work and materials meet Company quality standards.
- Conducts regularly scheduled safety meetings, ensures all MSDS sheets are current and readily accessible, and keeps up to date on all OSHA and other safety related laws to maintain property compliance.
- Advises the landscaping vendor and/or Director of Site Operations of any irrigation or landscaping issues that need addressed.
Administrative Responsibilities:
- Records activities in maintenance log.
- Responsible for maintaining other logs (pool, HVAC, preventative maintenance, etc.)
- Completes all Company training in time frame specified.
- Completes and updates all lighting inspections monthly and fire life/safety inspections as directed by Director of Site Operations.
- Coordinates vendor and contractor management.
- Assists with annual budgeting.
- Leads procurement activity.
- Responsible for monitoring and/or controlling maintenance inventory and/or supplies.
Company Responsibilities:
- Assists the Director of Site Operations and Assistant Community Manager with other tasks as requested.
- Comply with and enforce all Company policies.
- Embraces and executes the vision, mission, and beliefs of the Company.
- Supports the safety program.
- Is punctual and present at work when scheduled.
- Flexible with the work schedule, including availability To assist on emergency basis when applicable License(s) or Certification(s)
Preferred:
- Valid driver's license and current automobile insurance is required. Position requires individuals to furnish their own reliable transportation.
- HVAC certification.
- CPO certification.
- EPA certifications Type I and II or Universal for refrigerant recycling.
- Ability to earn future designations as required by Industry standards, EPA regulations, OSHA requirements, etc.
