OFFICE SUPPORT TO EXECUTIVE DIRECTOR OF FEDERAL PROGRAMS AND PARENT LIAISON
NATURE OF WORK Under general supervision performs a large variety of clerical, secretarial and administrative duties involving interaction with other departments. Generally an employee in this class functions as the primary support to a high level administrator, or has considerable knowledge of a technical field. Work typically involves several steps and requires the selection of the most appropriate action within procedural and operational guidelines. Work is directed by precedents or broad policy. Work also involves receiving correspondence, screening and independently handling a variety of routine inquiries by telephone and in person, and maintaining a variety of records and files. Employee is also responsible for assimilating information from a variety of sources to compose letters, generate reports and provide informational data. The employee utilizes a large variety of guidelines, some of which may be technical and require interpretation, to analyze facts and determine the correct procedure to use. The employee may develop procedures for non-technical and non-complex problems, and is expected to resolve problems independently.MINIMUM EDUCATION, TRAINING AND EXPERIENCE
High School diploma or equivalent required as well as an associate degree or two years of office related experience or an equivalent combination of education and work experience. Ability to read, write and speak Spanish highly recommended.PERFORMANCE RESPONSIBILITIES
Maintains files related to PreK and Federal Programs. Supports the preparation, development and use of Federal Program budgets for the district and Title I schools. Prepares materials/handouts, sets up facilities for workshops and meetings held by supervisors. Translates and Interprets when needed with families or agencies speaking Spanish. Word processes memos, letters, faxes and emails to schools and to various agencies. Maintains filing of correspondence and other resource materials. Duplicates materials to be disseminated to schools. Receives and compiles master personnel rosters for PreK and ESL staff. Revises and simplifies various documents into more user-friendly formats. Assists in preparations necessary for Pre-kindergarten registration. Keeps inventory of materials sent to schools to ensure availability. Performs extended tasks as requested by supervisors and other appropriate staff members. Assists the PreK and ESL Instructional Program Facilitators, Migrant Recruiter, McKinney-Vento Liaison and the Global Student Support Center. Schedules meetings, facility reservations, workshops, etc. Operates a variety of standard office equipment. Sets up, types, and enters data into tabular materials and charts. Maintains policy and procedure manuals. Prepare powerpoint presentations. Compilation of needed data for federal program areas. Provides information, answer questions, direct to correct source, and problem solve. Utilization of internet. Supports PreK and Federal Programs and School Improvement staff development events. Performs other work related tasks as required. The Parent Liaison serves to: Enhance communication and understanding between families who speak another language other than English, the school, and the district; Clarify and expand information to families who speak another language other than English regarding school and/or district expectations; Assist with families' requests and/or concerns; Assist families with district student enrollment and screening for EL services; Interact with and support schools throughout the Chatham County School system in compliance with Title III, as indicated by the Title III/EL Program Facilitator.Qualifications:
Hold a high school diploma, two years of college level education preferred. Demonstrate the ability to communicate effectively both orally and in writing with parents, schools, community and district office personnel in both Spanish and English; Demonstrate the ability to fluently speak, read and write in the second language predominant in the community; Provide evidence of successful experiences in working with parents/families and community members; Demonstrate the ability to establish and maintain effective working relationships with parents, teachers, students, administrators, community leaders, agency representatives, and others; Demonstrate the ability and organizational skills needed to develop and compile an assortment of records, reports and presentations using a variety of technology skills.Essential Functions:
Assist families who speak another language other than English in locating community resources for the purpose of promoting parent effectiveness and student achievement; Assist families with student enrollment; Screen students for EL services; Assist with the organization and implementation of events and activities for the purpose of enhancing parent involvement; Convey parents' questions and concerns to appropriate school/district staff for the purpose of supporting student success, and further facilitate communication with parents; Organize student compliance folders, provide required information to accountability, and assist with additional office needs such as compiling of compliance evidence and providing required information to accountability. Provide interpretation and translation services as requested, following the guidelines of Federal Programs.Other Functions:
Collaborate with other personnel to identify EL parents' issues and concerns. Participate in required in-service activities for the purpose of maintaining and enhancing work related skills.MINIMUM STANDARDS REQUIRED TO PERFORM RESPONSIBILITIES
Physical Requirements:
Must be able to use a variety of automated office equipment such as computers, copiers, typewriters, calculators, etc. Must be able to exert a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Due to amount of time spent standing and/or walking, physical requirements are consistent with those for Light Work.Data Conception:

Requires the ability to utilize mathematical formulas; to add and subtract; and to utilize decimals and percentages.Form/Spatial Aptitude:
Requires the ability to inspect items for proper length, width and shape.Motor Coordination:
Requires the ability to coordinate hands and eyes rapidly and accurately in using office equipment.Manual Dexterity:
Requires the ability to handle a variety of office machines, etc. Must have minimal levels of eye/hand/foot coordination.Color Discrimination:
Does not require the ability to differentiate between colors and shades of color.Interpersonal Temperament:
Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under stress and when confronted with persons acting under stress.Physical Communication:
