Job Description

Job Title:
Accountant Position Overview:
The Accounts Payable Specialist supports daily financial operations and administrative functions across multiple business entities, including healthcare-related operations. This role is responsible for managing invoices, vendor setup, payment processing, expense tracking, and assisting with financial reporting and special projects. The ideal candidate is experienced with accounting systems, particularly QuickBooks, highly organized, detail-oriented, and experienced with accounting practices.
Key Responsibilities:
Process and manage all incoming invoices, ensuring accuracy, proper coding, and timely entry into accounting systems Maintain and update vendor records, including onboarding new vendors Collect and manage required documentation such as W-9 forms and banking information Execute payments through various platforms (ACH, wire, online portals), ensuring accuracy and timeliness Track and reconcile all payments within QuickBooks Monitor company spending and assist with budget tracking in collaboration with ownership Prepare and maintain expense reports and ensure proper expense tracking procedures are followed Reconcile accounts payable transactions and resolve discrepancies with vendors Maintain organized financial records and documentation for audit and reporting purposes Monitor and track company credit card expenses, ensuring proper receipt collection and documentation Assist with Amazon Business account management, including order tracking, reconciliation, and expense categorization Ensure compliance with proper accounting principles, company policies, and healthcare industry standards Manage contractor payments and ensure timely disbursements Create and submit purchase orders for designated companies Deposit checks into bank accounts Support the Financial Controller and Owners with reporting, analysis, and special projects Track loan availability and bank account activity Manage and reconcile POS system transactions Assist with incoming and outgoing mail, including support for team members as needed
Qualifications:
Proven experience in accounts payable and administrative support roles Proficiency in QuickBooks (required) Experience in the healthcare industry (preferred) Strong understanding of accounting principles and financial processes Experience setting up vendors and managing vendor relationships Familiarity with collecting and handling W-9 forms and sensitive financial information
Preferred Skills:
Experience working with multiple entities or accounts Experience in budget tracking and financial reporting Proactive problem-solving skills and a team-oriented mindset Familiarity with payment platforms (PayPal, POS systems, credit card processing tools) and expense management Knowledge of Amazon Business account management is a plus Excellent attention to detail and organizational skills Strong multitasking abilities and the ability to prioritize effectively in a fast-paced environment Strong communication skills and ability to work closely with leadership High level of integrity and ability to handle confidential information
