Part-time employee or Independent Contractor (1099) About the Role We are seeking a detail-oriented and highly organized Staff Accountant to support the financial operations of a growing business. This role is accounting-focused, with a strong emphasis on reconciliation, cash tracking, and accounts payable. The ideal candidate has experience working in environments with multiple systems, high transaction volume, and operational complexity. While the primary responsibility is accounting, this role will also provide light administrative and operational support as needed. Candidates should be comfortable stepping in to help keep the business organized and running smoothly, but this is not an executive assistant role. Key ResponsibilitiesAccounting & Financial Operations (Primary Focus) Maintain accurate records in QuickBooks Online, including journal entries and reconciliations Cross-check and reconcile cash and debit card activity from two POS systems against daily bank deposits Reconcile key accounts including bank accounts, debit transactions, and clearing accounts Manage and reconcile: POS systems (e.g., Treez, Lightspeed) Cash vaults and change banks Merchant-in-transit and debit clearing accounts Gift cards, tips, and revenue tracking Investigate, document, and resolve discrepancies across systems Track and maintain prepaids, accruals, and revenue allocations Assist with monthly close and preparation of internal financial reports Maintain clean, organized audit trails and supporting documentation Accounts Payable & Bill Management Track and manage accounts payable, including operational and administrative expenses (rent, insurance, utilities, vendors, etc.) Ensure all bills are accurately recorded, approved, and paid on time Maintain visibility into upcoming payment obligations and cash requirements Coordinate with leadership on approvals and payment prioritization Reconcile vendor statements and resolve discrepancies as needed Help improve systems for bill tracking, approvals, and payment workflows Administrative & Operational Support (Secondary) Provide light administrative support to leadership as needed (scheduling, coordination, follow-ups) Assist with tracking and organization of key business items such as vendor communications, contracts, and deadlines Support general organization and efficiency across day-to-day operations Qualifications 3+ years of accounting experience (staff accountant or similar role) Hands-on experience with QuickBooks Online (required) Strong experience with cash-intensive and POS-based reconciliation Experience managing accounts payable and vendor payments Highly organized with exceptional attention to detail Ability to manage multiple priorities and work independently Proficiency in Excel or Google Sheets Strong communication skills and discretion with sensitive information Nice to Have Experience reconciling multiple POS systems Background in hospitality, retail, or other cash-heavy environments Experience in a small to mid-sized business environment Familiarity with regulated industries (e.g., cannabis, alcohol, gaming) What We Offer Competitive pay: $35-$37/hour, based on experience Flexible schedule (20-30 hours per week) Option for W-2 or 1099 engagement Direct collaboration with leadership and meaningful impact on operations Dynamic, fast-paced environment WORK AUTHORIZATION
